Project Manager, Direct Mail Full Time Clerical Dallas, TX, US 5 days ago Requisition ID: 1569 Project Manager, Direct Mail About the role This role leads the end-to-end execution of direct mail campaigns, translating business objectives into detailed project plans that guide strategy, creative development, data processing, production, postal deployment, and final in-home delivery. The position serves as the central coordinator across internal teams, clients, dealers, and external vendors, aligning timelines, deliverables, audience requirements, personalization rules, and approval processes to ensure accurate, compliant, and on-time campaign execution. This job monitors scope, budgets, forecasts, production schedules, and operational risks, proactively resolving issues related to data quality, vendor performance, dealer participation, and mailing logistics while maintaining financial and program alignment. It also drives continuous improvement in workflow, reporting, automation, and quality control, helping scale direct mail operations through stronger processes, better tools, and a collaborative, accountable approach. What you'll do Manage Direct Mail Campaign Execution — Coordinate direct mail programs from intake and planning through creative development, data processing, production, postal deployment, and in-home delivery. Establish project plans, workflows, and milestones to ensure campaigns are executed accurately, efficiently, and on schedule. Develop and Maintain Campaign Plans and Timelines — Create, manage, and communicate integrated schedules covering strategy, creative development, data processing, proofing, printing, mailing, and reporting activities. Monitor dependencies and adjust plans proactively to accommodate business, production, or dealer requirements. Coordinate Cross-Functional Teams and Vendors — Serve as the central point of coordination among Account Management, Creative, Media, Production, Analytics, Finance, Legal, Technology teams, print vendors, data providers, and mail houses. Facilitate communication, align stakeholders, and ensure all participants understand requirements, timelines, and deliverables. Manage Audience, Data, and Versioning Requirements — Coordinate audience segmentation, list management, data processing, personalization rules, versioning requirements, and campaign business logic. Partner with internal and external data teams to ensure data accuracy, compliance, and successful campaign execution. Administer Dealer Participation and Enrollment Programs — Manage dealer enrollment, campaign participation, approvals, communications, and exception handling processes. Ensure dealer-specific requirements are incorporated accurately while maintaining compliance with program standards and production deadlines. Monitor Scope, Budget, and Campaign Performance — Track projects against approved scopes, budgets, forecasts, and campaign objectives. Identify variances, escalating costs, or changing requirements and collaborate with Account and Finance teams to recommend solutions and maintain financial alignment. Coordinate Production, Print, Postal, and Delivery Processes — Oversee proofing, production schedules, print specifications, postal preparation, and mailing activities. Ensure quality standards are met, approvals are secured, and campaigns are delivered according to established timelines and operational requirements. Manage Risks, Issues, and Operational Exceptions — Proactively identify and mitigate risks related to data quality, production schedules, dealer participation, vendor performance, approval timelines, and mailing execution. Develop contingency plans and facilitate resolution of issues that may impact delivery or campaign effectiveness. Lead Campaign Planning and Program Forecasting — Partner with Account Management, Finance, and client stakeholders to support annual planning, program forecasting, campaign scoping, volume estimates, operational requirements, and resource planning. Translate business objectives into executable direct mail programs and operational plans. Drive Process Improvement and Operational Innovation — Identify opportunities to improve efficiency, scalability, automation, reporting, quality control, and workflow management. Support implementation of new technologies, tools, and operational best practices across direct mail programs. Agency Experience — 4+ years of experience in a project management role within an advertising agency or marketing environment, with direct responsibility for coordinating creative campaign work from briefing through final delivery. Direct Mail Experience — Experience managing direct mail, print production, loyalty, CRM, retail, franchise, dealer, or other highly versioned marketing programs involving audience segmentation, production coordination, vendor management, and deployment execution. Workflow Ownership — Demonstrated experience managing multiple concurrent projects through planning, execution, approval, production, and final delivery in a cross-functional agency environment. Proven ability to coordinate resources, manage timelines and dependencies, monitor scope and budgets, facilitate resolution of project issues, and keep work moving efficiently from initiation through completion.
