Overview This position has been budgeted for $26.10 per hour and is non-negotiable. Established in 1943, the mission of the SDSU Research Foundation (SDSURF) is to support the research objectives of San Diego State University by helping faculty and staff find, obtain, and administer funding for their research and sponsored programs. Responsibilities The Administrative Support Coordinator II for the Elevate Grant provides comprehensive administrative, operational, and programmatic support for the Psychiatric Mental Health Nurse Practitioner (PMHNP) program and all activities associated with the Elevate Grant. This position is responsible for coordinating student recruitment, admissions, enrollment, compliance tracking, grant operations, data management, fiscal reconciliation, stakeholder communication, and support of faculty and graduate program committees. The Program Coordinator serves as a central liaison among internal and external partners to ensure successful implementation and ongoing management of grant objectives and program operations. Program Administration and Operations 40% Coordinate and oversee day-to-day operations of the Elevate Grant and PMHNP/graduate program activities. Maintain and update program policies, procedures, and operational documents. Maintain and revise the Graduate Student Handbook. Ensure compliance with university, accreditation, grant, and regulatory requirements. Maintain all grant-related databases, records, and reporting systems. Assist with preparation of reports, audits, and grant documentation. Coordinate and maintain documentation related to curriculum revisions, committee actions, and program outcomes assessment. Support implementation of faculty development activities and program improvement initiatives. Maintain confidentiality of student, faculty, and program records in accordance with institutional and regulatory requirements. Participate in special projects and perform additional duties as assigned to support the goals and objectives of the Elevate Grant and graduate program. Coordinate research and data collection assignments in support of the Associate Director of Graduate Nursing and SON Director. Manage regular and ongoing coordination between administrative offices in San Diego and Imperial Valley, maintaining graduate databases and student files. Update and coordinate with the director and appropriate faculty regarding Modern Campus Catalogue revisions ensuring accuracy of program specifics. Coordinate and provide administrative support for student evaluation processes. Work closely with the Associate Director of Graduate Programs to maintain CCNE accreditation, BRN approval, and WSCUC compliance. Require occasional travel to Imperial Valley to meet with graduate students, administration, and faculty. Facilitate Graduate Student End of Program Evaluations and data analysis and report qualitative and quantitative data to GPC and full faculty. Maintain ongoing communication with the BRN (licensure, accreditation, and certification) of graduate students. Student Recruitment, Admissions, and Enrollment 15% Coordinate student recruitment and outreach activities. Assist with development and implementation of marketing and promotional strategies for the program. Coordinate program marketing activities including website updates, hospital and conference tabling events, and community outreach initiatives. Manage applicant tracking, admissions processes, and enrollment coordination. Maintain accurate student records and databases throughout the student lifecycle. Serve as a primary contact for prospective and current PMHNP students. Facilitate student orientation and support student success planning, academic progression, and ongoing program engagement. Collaborate with School of Nursing administration, faculty, staff, and external stakeholders to support student recruitment, retention, and success initiatives. Coordinate Psych Mental Health Nurse Practitioner program marketing including web updates, hospital and conference tabling events. Facilitate PMHNP/graduate student orientation while creating plans of study and following up with students to ensure academic progress. Assist the Director with launching new graduate student cohorts each Fall. Prepare DNP EBP project committee data for approval and submission through OnBase. Be familiar with student data tools for form submission and degree audits (e.g., mySDSU and OnBase). Provide Graduate Student Advising in alignment with the College of Graduate studies and maintain correspondence with current and prospective students regarding PMHNP/graduate program. Consult with faculty and SDSU leadership on curricular updates and work with Modern Campus to ensure University curriculum approval. Engage in program outreach activities that involve dissemination of program information to a diverse population of applicants by providing factual data about educational and educational requirements related to student aptitudes and interests in the Psychiatric-Mental Health specialties. Provide graduate student advisement each semester and support development and compliance with student curricular plans. Work with SON admin staff and Associate Director of Graduate Programs on compilation of reports related to faculty workload and scheduling. Student Compliance and Clinical Coordination 10% Monitor and ensure student compliance with Typhon and Complio requirements. Maintain and update the preceptor database. Track student clinical placements, onboarding requirements, and documentation. Ensure timely completion and tracking of required student and program compliance documentation. Communicate with students, faculty, and clinical partners regarding compliance and placement needs. Faculty and Committee Support 5% Provide administrative assistance and support to the Associate Director of Graduate Nursing Programs regarding all aspects of administrative operations of the graduate program. Provide administrative support to faculty. Coordinate logistics, scheduling, agendas, minutes, and documentation for: Graduate Program Committee meetings Graduate Program Curriculum meetings PMHNP program meetings Assist faculty with program-related initiatives, reports, and student support activities. Grant and Stakeholder Coordination 10% Serve as liaison between the university, Research Foundation, the County, Trailhead, and PIC. Coordinate communication and collaboration among grant stakeholders and community partners. Support implementation of grant objectives, timelines, deliverables, and reporting requirements. Participate in grant‑related meetings and collaborative activities. Assist with preparation and submission of reports required by university administration, accrediting agencies, and grant partners. Fiscal and Budget Responsibilities 15% Reconcile grant budget transactions, invoices, and expenditures. Maintain organized financial records and supporting documentation. Track and retain receipts and documentation for: Equipment purchases Travel expenses Supplies and related expenditures Assist with budget monitoring and fiscal reporting in collaboration with grant leadership and fiscal personnel. Ability to work independently and collaboratively with diverse stakeholders. Ability to coordinate complex processes and maintain comprehensive records. Demonstrated problem-solving and organizational abilities. Experience working in higher education, healthcare, or nursing education programs. Familiarity with graduate nursing education and PMHNP programs. Experience with grant‑funded programs and fiscal tracking. Knowledge of Typhon, Complio, and student clinical compliance systems. Experience with student data systems, database management, and office operations. Strong organizational, communication, and project management skills. Proficiency with Microsoft Office Suite and database systems. Ability to manage multiple priorities and maintain confidentiality. Education & Experience High school diploma or equivalent 6‑years of progressively responsible experience in an office or administrative environment Preferred Qualifications & Special Skills Master’s degree preferred with preparation in college‑level advising and program administration. 2‑3 years of progressively responsible experience in an administrative environment, preferably academic.
