Contract Administrator

Summary: A Phoenix-based structural steel fabricator is hiring a Contract Administrator to manage AIA billings, subcontracts, change orders, lien waivers, and GC prequalification packages. We're looking for someone with strong contract compliance experience, familiarity with Foundation or Procore, and a calm, organized approach to a high-volume workload. Partner directly with estimating and project management teams to support project execution. Own critical documentation that impacts billing, compliance, and cash flow. Gain broad exposure to client contracts, subcontractor agreements, and change management processes. Serve as a key operational resource supporting project success from contract award through closeout. What You’ll Own Review client contracts and identify terms, risks, and compliance concerns. Coordinate with internal stakeholders to resolve contract issues and secure fully executed agreements. Prepare and submit AIA billings in alignment with project requirements and deadlines. Draft and issue subcontract agreements and purchase orders. Manage the processing and documentation of project change orders. Process approved subcontractor pay applications and maintain payment records. Prepare and distribute prelien notices and lien waivers. Verify insurance certificates and track compliance documentation. Complete and submit prequalification packages with required supporting materials. Maintain organized contract, billing, and compliance records for audit and reporting purposes. Must-Haves Experience administering contracts within construction, engineering, or a project-based environment. Knowledge of contract review, subcontract agreements, and purchase order administration. Experience preparing or supporting AIA billing processes. Understanding of change order documentation and approval workflows. Experience processing subcontractor pay applications and maintaining supporting records. Familiarity with lien waivers, prelien notices, and compliance-related documentation. Strong organizational skills with the ability to manage multiple projects and deadlines. Nice to Have Experience supporting structural steel, commercial construction, or specialty contractor projects. Understanding of insurance certificate tracking and compliance requirements. Exposure to coordinating with project managers, estimators, subcontractors, and vendors. Experience maintaining documentation for audits or regulatory reviews. #J-18808-Ljbffr
