Position Title: Administrative Assistant to the Superintendent
Reports to: Superintendent
FLSA Designation: Non-exempt
Calendar: 12 month
SUMMARY: Assists Superintendent, Board of Education Members and District Administrators by performing secretarial duties such as typing, responding to phone calls and maintains files. Acts as liaison between District and community, Superintendent and parents, and Superintendent and staff. An ideal candidate will have advanced organization, communication, and record keeping skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned by supervisor.
- Responsible for correspondence, reports, notices, recommendations, purchase orders, check requests and forms for Superintendent and staff
- Obtains, gathers and organizes pertinent data as needed and puts it into usable forms
- Maintains a regular filing system and processes incoming correspondence as instructed.
- Places and receives phone calls and records messages
- Orders and maintains supplies as needed
- Performs financial accounting tasks associated with the specific position
- Maintains a schedule of appointments and makes arrangements for conferences and interviews
- Interfaces with District parents, community, the press and legislative leaders regarding District and Board of Education issues
- Welcomes visitors and arranges for their comfort, screens unexpected callers in accordance with guidance from Superintendent
- Operates job-related equipment, i.e., word processors, computers, copy machines, tablets, facsimile machines, etc.
- Works with various software applications, entering and retrieving data as needed
- Works well with both supervisors and other members of the team
- Maintains consistent and punctual attendance
- Performs other duties assigned by supervisor or administrator
- Manages or assists in managing substitute teacher placement

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION AND/OR EXPERIENCE: HS diploma or GED and at least two (2) years general office work and/or training; basic computer skills to include a working knowledge of word processing, spreadsheet, and databases preferred. Experience in public schools preferred.

OTHER SKILLS AND ABILITIES: Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to learn and utilize new software programs as systems are upgraded. Ability to perform duties with awareness of all district requirements and Board of Education policies.

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to walk and use fingers, tools or controls. The employee must be able to transport from building to building for meetings and/or other duties. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.
