Job Title: Onboarding Specialist
Location: Minneapolis MN
Pay rate: $21.61-26.14/hr.
Position Summary
We are seeking a detail-oriented HR Onboarding & I-9 Compliance Specialist to support the end-to-end onboarding process for new employees while ensuring compliance with employment eligibility regulations. This role serves as a key point of contact for candidates, employees, managers, and HR partners, delivering a seamless onboarding experience from pre-employment through post-hire activities. The ideal candidate will possess strong organizational skills, compliance knowledge, and a customer-focused approach.
Key Responsibilities
Facilitate the complete onboarding process, ensuring new hires and managers receive timely guidance, resources, and support throughout the employee lifecycle.
Manage daily Form I-9 activities, including reviewing Section 1 and Section 2 completion, monitoring outstanding requirements, conducting reverifications, and ensuring compliance with federal employment eligibility regulations.
Maintain and manage an active caseload through the Case Management System, responding to inquiries and completing tasks within established Service Level Agreements (SLAs).
Investigate and escalate complex onboarding, compliance, or employee issues involving candidates, managers, HR partners, and third-party vendors when necessary.
Apply and maintain knowledge of company policies, procedures, employment eligibility regulations, and risk-based decision-making practices.
Support compliance audits, documentation reviews, quality checks, and ongoing monitoring activities.
Ensure the confidentiality and security of sensitive employee and company information.
Utilize HR systems, including Workday and ServiceNow, to manage onboarding workflows, case documentation, and I-9 processes.
Provide exceptional customer service through clear, proactive, and accurate communication with employees and stakeholders.
Required Qualifications
1–3 years of experience in Human Resources, onboarding, compliance, employee support, or administrative operations within a regulated environment.
Working knowledge of Form I-9 requirements, including employment eligibility verification, Section 1 and Section 2 completion, and reverification processes.
Experience using Workday, ServiceNow, or comparable HR Information Systems (HRIS).
Strong attention to detail, organizational skills, and ability to manage confidential information.
Demonstrated ability to manage multiple priorities and meet service-level expectations.
Excellent written and verbal communication skills.
Strong customer service, problem-solving, and critical-thinking abilities.
Proficiency with Microsoft Office applications and digital workflow systems.
Preferred Qualifications
Experience conducting I-9 audits, corrections, and E-Verify processing.
Background supporting high-volume onboarding or HR operations environments.
Knowledge of federal employment eligibility laws and documentation requirements.
HR certifications such as PHR, SPHR, SHRM-CP, or SHRM-SCP are preferred but not required.
