On-Site Coordinator

The Berwick is seeking a friendly, organized, and detail-oriented  On-Site Coordinator to guide customers through the entire event-planning process and ensure every event is executed to their specifications. As a family-owned and operated business specializing in homemade Italian goodness, exceptional food and customer service are at the heart of everything we do.

This position serves as the primary point of contact for event clients from their initial inquiry through the completion of their event. This position also requires working with customers to book food pick-up and delivery orders. The ideal candidate is personable, professional, highly organized, comfortable working in a fast-paced environment, and genuinely enjoys helping customers create memorable experiences.

Key Responsibilities:

• Respond to initial event inquiries and communicate with prospective clients in a friendly and professional manner.
• Schedule and conduct facility tours for prospective customers.
• Meet with clients for tastings, answer questions, and help guide them through menu and event selections.
• Prepare customized event proposals and contracts.
• Book and coordinate events while maintaining accurate and organized client records.
• Communicate with clients throughout the planning process and serve as their primary contact for questions and updates.
• Finalize event details, including menus, timelines, room setups, special requests, and final guest counts.
• Coordinate with internal staff to ensure all event details are communicated and prepared correctly.
• Serve as the on-site contact for vendors
• Be present and actively involved on-site during events to ensure setup and execution meet the customer's expectations and specifications.
• Troubleshoot questions or issues that arise during events and provide solutions with professionalism and a positive attitude.
• Assist with general incoming phone calls and emails.
• Work closely with all members of the team to ensure events, orders, and daily operations run smoothly.
• Pitch in and assist wherever needed, including helping coworkers, supporting event setup and breakdown, and assisting with general duties during busy periods.
• Schedule and coordinate customer pick-up and delivery orders.
• Assist with other customer service and administrative responsibilities as needed.

Job Type: Full-Time
Reports To: Venue Manager / General Manager
