Program Administrator

Position Summary The Repair Program Administrator supports our Home Repair Program, which helps preserve homeownership and helps more people remain safely in their homes. The Administrator serves as a primary point of contact for applicants and manages key administrative activities, including application distribution and review, applicant follow-up, recordkeeping, repair-status tracking, and coordination with Repair Program Coordinators through project completion. This role plays a direct part in Habitat for Humanity Greater Cincinnati's 10-year goal to deploy $7 million in home repairs - Repair Program Administrators are on the front line of turning that vision into completed repairs. Position Responsibilities Coordination of Repair Program Serve as a first point of contact for potential applicants; explain requirements in plain language, distribute applications, and maintain an accurate log of communications. Review applications and supporting documents for completeness, accuracy, consistency, required signatures, and current dates; follow up on missing or unclear information. Maintain organized electronic and paper files and promptly update applicant, funding, and repair information in related systems. Track completed projects, funding, and the master repair list, and coordinate with Repair Program Coordinators to support timely handoffs, reporting, and repair completion. Assist with outreach to communities, faith partners, government, social service agencies, etc., as time allows and at the direction of the Senior Repair Program Manager. Contribute to maintaining detailed records of contractors and community partners. Travel within the service area to visit applicants and event locations, as needed. Attend and participate in Habitat kickoff and dedication ceremonies and community and corporate events, as needed. Qualifications At least one year of customer service or administrative support experience. Strong time-management and follow-through skills, including the ability to track deadlines, callbacks, and multiple applicant and repair files. Ability to provide accurate administrative support, work independently, and respond to direction and coaching. Exceptional attention to detail and ability to verify forms and supporting documents and maintain organized records. Excellent interpersonal, written, oral, and phone communication skills with a professional demeanor. Proficiency with Microsoft 365, SharePoint, Excel, Orion or similar databases, scanners, electronic documents, and internet-based tools. Comfort learning new software and systems with limited support. Ability to maintain confidentiality and exercise sound professional judgment when handling personal, financial, eligibility, and repair information. General familiarity with residential repair terminology, contractor quotes, invoices, and the basic repair process preferred. Experience with veteran and military-connected families preferred. Well-organized, self-motivated, and deadline driven. Ability to manage many tasks simultaneously and prioritize urgent requests. Occasional weekend and evening availability. #J-18808-Ljbffr
