Human Resources and Operations Coordinator

The HR & Operations Coordinator provides administrative support for Human Resources and operations functions. This entry level role serves as a key resource for employee support, HR administration, workforce logistics, and operational coordination. Responsibilities include employee lifecycle administration, benefits support, HR records management, compliance activities, scheduling truck rentals, and ensuring workers have the resources needed to mobilize efficiently.

Key Responsibilities

Employee Administration

• Assist with employee onboarding and new hire correspondence.
• Process employee status changes including promotions, transfers, compensation updates, and terminations.
• Assist in maintaining employee personnel files and HR documentation.
• Responds to routine employee inquiries regarding HR policies.

HRIS and Data Management

• Maintain accurate employee records within the Human Resources Information System (HRIS).
• Assist with documentation and HR recordkeeping requirements.
• Assist with payroll-related data submissions and employee record updates.
• Prepare and validate payroll changes including new hires, terminations, compensation changes, leave requests, and employee status updates.
• Maintain departmental calendars, files, and shared resources.

Benefits Administration

• Support employee benefits enrolment and life event changes.
• Serve as a point of contact for routine benefits questions.
• Coordinate with benefits vendors to resolve employee issues.

Compliance and Policy Support

• Maintain confidentiality of employee information and sensitive HR records.
• Support policy updates and distribution of company communications.
• Maintain operational records, spreadsheets, and tracking systems.

Operations & Workforce Logistics

• Schedule truck rentals and transportation resources to support project staffing needs.
• Assist in arranging employee travel, lodging, and transportation logistics for out-of-town assignments.
• Assist with maintaining fleet and rental vehicle records and documentation.

About You

Required

• Proficiency in Microsoft Office; strong Excel skills.
• Ability to provide excellent customer support to our employees and clients with a focus on effective resolution of inquiries and issues.
• Strong organizational and multitasking skills.
• Must have good attention to detail.
• Must be a self-starter and have comfort in working independently.
• Possess the ability to tackle new tasks and assist in different areas of the business.
• Strong interpersonal and excellent verbal and written communication skills.
• High level of integrity and ability to maintain confidentiality in a work environment.

Preferred

• Associate or bachelor's degree in human resources, Business Administration, Operations Management, or related field preferred.
• Experience coordinating travel or transportation logistics.
• Experience working with HRIS, ERP, or workforce management systems.
• Knowledge of employee onboarding and HR administration processes.
• Familiarity with vehicle rental coordination, workforce scheduling, or project support environments.
• Familiarity with payroll administration and workforce management.

This role would be based onsite 5 days per week
