Job Description: Service Department Manager

Service Department Manager is responsible for overseeing the daily operations, profitability, and growth of the service department. This position manages service team members, customer relationships, service scheduling, estimating, job completion, vehicle fleet management, and shop organization.

The service department manager ensures that all service work is completed safely, efficiently, on schedule, and in compliance with applicable electrical codes, company standards, and customer expectations.

Department Operations:

• Oversee daily service department operations, including scheduling, dispatching, job assignments, job number creation, material orders, and workload management.
• Ensure service calls, repairs, troubleshooting, and construction projects are completed efficiently and professionally.
• Field customer calls 24/7 and dispatch assigned team member if necessary.
• Be available and prepared to assist on-call technician if field assistance is required.
• Be available for service team members that need instruction, guidance, or trouble shooting assistance.
• Monitor team member productivity, job completion rates, callbacks, and customer satisfaction.
• Coordinate service operations with smaller construction projects.
• Assist with vehicle fleet maintenance and management.
• Coordinate shop organization, cleanliness and safety standards.

Financial Performance and Profitability:

• Monitor labor hours, material costs, overtime, equipment expenses.
• Review service estimates, proposals, work orders, and invoices for accuracy and completeness.
• Identify opportunities to increase revenue, improve efficiency, reduce unnecessary costs, and minimize unbilled work.

Team member Management and Development:

• Train, supervise, and evaluate service electricians and apprentices.
• Hold team members accountable for productivity, workmanship, attendance, and professionalism.
• Provide technical guidance, mentoring, and ongoing training opportunities.
• Promote teamwork, accountability, safety, and a positive work environment.

Customer Service and Business Development:

• Maintain strong relationships with existing customers and general contractors.
• Respond to customer concerns, service issues, and escalated complaints in a timely and professional manner.
• Identify opportunities for recurring service agreements, preventative maintenance programs, and additional service work.
• Prepare or oversee estimates and proposals for service repairs, upgrades, troubleshooting, and small electrical construction projects.
• Ensure customers receive timely communication, accurate pricing, and dependable service.

Safety and Code Compliance:

• Enforce company safety policies and ensure team members follow applicable OSHA requirements and electrical safety procedures.
• Ensure work complies with applicable National Electrical Code (NEC) requirements.
• Conduct or coordinate safety meetings, jobsite reviews, and incident investigations as needed.
• Ensure team members use appropriate personal protective equipment, tools, and testing equipment.
• Address unsafe work practices and implement corrective actions.

Quality Control and Technical Oversight:

• Provide technical support for troubleshooting, repairs, installations, and electrical system upgrades.
• Review completed work for quality, code compliance, and customer satisfaction.
• Monitor callbacks, warranty work, rework, and recurring service problems.
• Coordinate with inspectors, vendors, and other contractors when required.
• Stay informed about industry practices, electrical products, technology, and code updates.

Reporting and Administration:

• Maintain accurate service records, work orders, time entries, material usage, and job costing information.
• Review team member timesheets and material orders.
• Ensure service tickets and job numbers are closed out promptly.
• Review for accuracy and approve team members timecards daily/weekly.

·         Update shared manpower job schedule daily with labor requirements for assigned jobs.

·         Attend scheduled weekly manpower meetings with estimators, project managers and operation to determine future manpower requirements.

• Coordinate and lead vehicle fleet management/maintenance company wide.
• Maintain organization and cleanliness of company shop area.

Qualifications:

• Journeyman or Master Electrician license preferred, where applicable.
• Minimum of 5 years of electrical industry experience, with supervisory or management experience preferred.
• Strong understanding of electrical troubleshooting, installations, repairs, and applicable electrical codes.
• Experience managing field team members, service scheduling and customer accounts.
• Demonstrated ability to manage job costs, labor productivity, estimates, and profitability.
• Strong leadership, communication, organization, and problem-solving skills.
• Proficiency with service management software, scheduling systems, estimating tools, and Microsoft Office.
• Valid driver's license and ability to travel to customer sites as required.
• Availability for after-hours calls, troubleshooting and deployment if necessary.

The Electrical Service Department Manager will be evaluated based on performance in the following areas:

• Labor productivity.
• Customer satisfaction and customer retention.
• Callback rate, warranty costs, and rework.
• On-time response and job completion rates.
• Time from job completion to billing.
• Safety performance and code compliance.

Work Environment:

This position combines office and field responsibilities. The manager may visit customer facilities, jobsites, and project locations to support team members, resolve service issues, review work quality, and maintain customer relationships. Overtime or after-hours availability is required to support emergency service operations.
