Finance Manager

The E.B. Mills Foundation of Florida, Inc. is seeking an experienced, detail-oriented Finance Manager to lead financial operations and support responsible stewardship of organizational resources.

Position Summary

The Finance Manager oversees the Foundation’s financial operations, including accounting, budgeting, financial reporting, grant and fund accounting, internal controls, payroll coordination, and compliance. This position works closely with leadership to ensure grants, donations, restricted funds, and program resources are accurately managed and used in accordance with applicable requirements.

Essential Duties & ResponsibilitiesFinancial Management & Accounting

• Oversee day-to-day accounting and financial operations.

• Maintain accurate financial records, general ledger accounts, and supporting documentation.

• Manage accounts payable and receivable.

• Perform and review bank and account reconciliations.

• Monitor cash flow, revenue, expenses, and financial obligations.

• Maintain QuickBooks and other approved financial systems.

• Ensure transactions are properly recorded, classified, documented, and authorized.

Nonprofit, Grant & Fund Accounting

• Manage financial accounting for grants, donations, programs, and other funding sources.

• Track restricted and unrestricted funds and ensure appropriate use.

• Monitor grant expenditures against approved budgets and funding requirements.

• Maintain documentation required for grant reporting and reimbursement.

• Track program expenses and appropriate cost allocations.

• Coordinate with leadership and program staff regarding allowable expenses and grant requirements.

• Support financial components of grant applications, proposals, and reports.

• Maintain financial records that support transparency, accountability, and responsible stewardship.

Budgeting & Financial Reporting

• Assist with development and management of annual, departmental, program, and grant budgets.

• Monitor actual financial performance against approved budgets.

• Prepare budget-to-actual and variance reports.

• Prepare monthly, quarterly, and annual financial reports.

• Provide financial statements and reports to executive leadership and the Board as requested.

• Identify significant financial trends, risks, or variances and communicate findings to leadership.

• Support financial forecasting, strategic planning, and resource allocation.

Payroll & Financial Coordination

• Coordinate with Human Resources regarding payroll-related financial information.

• Review payroll records for financial accuracy and maintain related reconciliations.

• Support payroll tax, benefits, and compensation-related financial reporting as appropriate.

• Maintain confidentiality and appropriate separation of HR and Finance responsibilities.

Internal Controls, Compliance & Risk

• Develop and maintain financial policies, procedures, and internal controls.

• Promote appropriate segregation of financial duties and authorization procedures.

• Identify financial risks and recommend corrective or preventive measures.

• Protect organizational assets and maintain appropriate financial audit trails.

• Monitor compliance with grant agreements, donor restrictions, and organizational financial policies.

Audit, Tax & Regulatory Support

• Coordinate financial documentation for audits, reviews, and required examinations.

• Work with external accountants, auditors, tax professionals, banks, and financial institutions.

• Assist with documentation for IRS Form 990 and other required filings.

• Maintain records supporting federal, state, grant, and nonprofit reporting requirements.

Leadership & Collaboration

• Serve as a financial resource to executive leadership and department leaders.

• Provide guidance regarding budgets, financial procedures, documentation, and fiscal responsibility.

• Collaborate with HR, Administration, Programs, Development, Grants, and other organizational functions.

• Participate in leadership meetings and provide financial updates as requested.

• Support strategic decision-making through financial analysis and recommendations.

• Promote accountability, transparency, and responsible stewardship throughout the organization.

Required Qualifications

• Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.

• Professional experience in accounting, finance, or financial operations.

• Experience with budgeting, financial reporting, reconciliations, and general ledger management.

• Knowledge of accounting principles and financial controls.

• Strong analytical, organizational, and problem-solving skills.

• Ability to handle confidential and sensitive financial information.

• Strong written and verbal communication skills.

• Proficiency with Microsoft Excel and financial/business applications.

• Experience with QuickBooks or comparable accounting software.

Preferred Qualifications

• Financial management experience within a nonprofit, foundation, charitable, or grant-funded organization.

• Experience with nonprofit or fund accounting.

• Experience managing restricted and unrestricted funds.

• Experience with grant budgeting, financial reporting, and compliance.

• Familiarity with nonprofit financial statements, audits, and IRS Form 990.

• Experience with government, foundation, corporate, or philanthropic funding.

• Experience preparing financial reports for executive leadership and Boards of Directors.

• CPA, CMA, MBA, or other relevant credential is a plus but not required.
