Production assistant

Position Summary

The Administrative Assistant supports the daily operations of the shipyard by performing a wide range of front desk, clerical, and organizational duties. This role acts as the first point of contact for visitors and contractors, ensures proper documentation handling, and supports multiple departments including safety, operations, and procurement.

Key Responsibilities

• Front Desk & Visitor Management

• Greet and check in all visitors, vendors, and contractors in accordance with security protocols.

• Issue visitor and contractor badges; verify appointments with internal staff.

• Deliver professional customer service and enforce visitor control procedures.

• Handle occasional challenging or irate individuals with professionalism and composure.

Administrative & Operational Support

• Provide administrative assistance to project managers, supervisors, and office personnel.

• Draft, review, and distribute professional emails, reports, and internal communications.

• Maintain filing systems for sensitive vendor and contractor documentation including birth certificates, passports, social security cards, and government-issued IDs.

• Assist with orientation coordination and documentation flow for vendors and contractors entering the facility.

Document & Data Management

• Track and file safety records, inspection forms, training certifications, and timekeeping logs.

• Maintain accurate digital and physical records in accordance with company and regulatory standards.

Software & Communication

• Proficient in Microsoft Office Suite - Excel wizard preferred.

• Create and maintain spreadsheets, data reports, presentations, and project trackers.

• Use Outlook and other communication tools to coordinate meetings and share updates.

Supplies & Logistics

• Order, receive, and manage office supplies inventory.

• Coordinate with vendors to ensure timely delivery and cost efficiency.

Other Duties

• Participate in compliance audits and safety walkthroughs.

• Assist with special projects, meeting setup, and event coordination.

• Perform other administrative duties as assigned by leadership.

Qualifications

• High school diploma or equivalent required; Associate's degree preferred.

• Minimum 2 years of administrative experience in an industrial or operations setting; shipyard experience a plus.

• Exceptional written and verbal communication skills.

• Strong interpersonal skills with the ability to remain calm and professional under pressure.

• High level of discretion and confidentiality when handling sensitive documents.

• Ability to multitask and manage shifting priorities in a dynamic environment.

Work Environment

• Position is based near the active shipyard area; must be comfortable working in proximity to industrial operations.

• Occasional need to walk yard areas and interact with field personnel or vendors outdoors.

• Standard office physical requirements including sitting, standing, and lifting up to 20 lbs.
