PT Reception / Intake Specialist

Schedule: Monday–Friday, 12:30 PM–5:30 PM |

We are seeking a polished, dependable Receptionist/Intake Specialist to serve as the first point of contact for clients and callers at our family law firm. This is not a passive front-desk role — it requires someone with strong interpersonal and written communication skills. The right candidate is articulate and takes genuine pride in precision, professionalism, and follow-through. Strong data entry and MS Office capabilities are essential.

Overview

Beyond greeting clients and managing phones, this position involves significant data entry and database management. The ideal candidate is a self-starter who will independently navigate office equipment and multiple software platforms after an initial training period.

Primary Responsibilities

• Answer all incoming calls using a multi-line phone system
• Greet potential and current clients in the lobby and escort them to our suite.
• Perform conflict checks and oversee the client intake process
• Enter new client information accurately and in a timely manner
• Relay pertinent information to paralegals and attorneys
• Maintain reception, conference, and beverage areas
• Make daily runs to the post office, bank, and courthouse
• Assist with meal coordination for in-house mediations and depositions
• Deliver/retrieve documents within a 10-mile radius on occasion (mileage reimbursed)
• Assist with production and breakdown of exhibit binders as needed

Qualifications

• Associate's degree or current enrollment in an undergraduate program
• Minimum 2 years of on-site experience in a professional office environment
• Advanced computer literacy required; ability to learn multiple document management and payment platforms
• Exceptional attention to detail — spelling, dates, and data accuracy are critical in a legal context
• Ability to multitask and remain composed under pressure
• Ability to lift up to 50 lbs.
