JOB DESCRIPTION Job Title: Community Education Coordinator Exempt Status: Non Exempt Department: Community Education Reports To: Community Education Director Revision Date: Job Summary: Under the direction of the Community Education Director, the Community Education Coordinator is responsible for the overall programming process and implementation of various adult and youth enrichment programs, adult and youth recreational programs, senior citizen programs, and aquatics as well as other clerical duties of the Community Education Department Supervisory Responsibilities: Direct Supervision: Independent contractors and contracted instructors, Aquatics staff, Recreation Staff Indirect Supervision: None Essential Duties and Responsibilities: Coordinates and oversees all Community Education programming including Adult/Youth Enrichment, Adult/Youth Recreation, Aquatics, and Senior Citizen programming and services. Performs outreach to ensure programming meets the needs of the community. Hires instructors and ensures all payroll paperwork is completed and on file with Business Services. Coordinates program layout, fees, and schedules. Supervises and schedules staff, ensuring all endorsements are up-to-date and all required district training has been completed. Hosts program staff meetings to ensure smooth functioning of program services. Purchases materials and supplies for specific programs. Monitors revenues and expenditures for all programs. Assists in designing and producing the Community Education brochure. Prepares targeted marketing campaigns for specific program areas or events. Serves as the on-call coordinator for assigned Community Education programs and events, providing support and responding to operational issues, emergencies, and staff needs during evenings and weekends as required. Wrap Around Care Program Responsibilities Assists in the daily operation and supervision of the Wrap Around Care program, ensuring a safe, welcoming, and developmentally appropriate environment for preschool-aged children. Plans, implements, and supervises engaging activities that support children's physical, social, emotional, and cognitive development. Supervises children during structured activities, free play, meals, transitions, and outdoor play while maintaining program safety and following district policies and procedures. Models positive behavior management techniques, assists children with conflict resolution, and encourages appropriate social interactions. Assists children with self-help skills and promotes independence through age-appropriate guidance. Prepares and serves snacks while maintaining sanitation standards and cleaning program areas. Organizes, sets up, and maintains supplies, equipment, games, and activity materials. Documents student behaviors, incidents, and other required program information. Communicates professionally with parents and staff regarding student needs, concerns, and program information. Summer Recreation Coordination Coordinates and supervises the Community Education Summer Recreation Program, including T-ball, Intro to Baseball, Soccer, and other assigned youth activities. Organizes, inventories, and maintains program equipment and supplies. Supervises coaches and instructors to ensure quality instruction, participant safety, and positive sportsmanship. Serves as the on-site contact for participants, parents, coaches, and staff by responding to questions, concerns, and emergencies. Monitors program attendance and assists with scheduling, staffing, and daily program operations. Ensures facilities and equipment are safe, organized, and ready for program use. Assists with program evaluation and recommends improvements for future programming. Minimum Qualifications: Associate's degree in Early Childhood Education, Education, Recreation, Community Education, Business, or a related field preferred. High school diploma or equivalent required with experience in community education, child care, recreation programming, or a related field. Experience supervising children and coordinating programs preferred. Requires a valid MN driver’s license. Essential Knowledge And Specialized Subject Knowledge Required To Perform The Essential Functions Of The Job Concepts, principles and philosophy of lifelong learning, public education, and relationship of community education to K-12 programming. Fundamentals of supervision and district processes pertaining to the selection and hiring process. Fundamentals of public relations theories and techniques in promoting, advertising, and/or informing the public of programs, services, courses or other events/projects. Fundamentals and basic knowledge of recordkeeping and bookkeeping. Basic knowledge concerning the use of computers and related software applications and general business equipment. Knowledge of community resources and community organizations within the community. Knowledge of the theories, philosophy and approaches to adult/youth education/enrichment programming, evaluation, and implementation. General knowledge of district administrative policies and procedures pertinent to the activities and programs of Community Education. Essential Skills Necessary To Perform The Work: Leading, delegating, monitoring, evaluating and training contract instructors/personnel. Planning, evaluating, implementing, and coordinating the delivery of programs, activities, events or services geared towards adult/youth/recreation enrichment. Monitoring program budgets and costs. Recruiting qualified instructional staff for enrichment programs. Preparing and marketing enrichment programs/classes through the preparation of brochures, handouts, booklets, flyers, etc. Time management skills. Planning and making arrangements for building use and scheduling requirements. Applying judgment and discretion in handling problems and issues in accordance with the policies and procedures of the District and the department. Promoting, advertising and communicating programs, services and activities. Using computers and related software applications and general office equipment, e.g., copiers, facsimiles and phones. Communication, interpersonal skills as applied to interaction with coworkers, supervisors, the general public, etc., sufficient to exchange or convey information, speak before groups and make presentations, to receive work direction, address or resolve issues/conflicts appropriately. Work Environment: Work is performed under normal office conditions and there are minimal environmental risks or disagreeable conditions associated with the work. Work involves continuous contact and interactions with the public, staff, outside agencies, community groups, administrators, and others that can involve occasional disagreeable human interactions and/or conflicts. The position requires a flexible work schedule, including occasional evening and weekend hours to support Community Education programming, events, and activities. The employee is expected to be available on an on-call basis for assigned weekend programming to address operational issues, emergencies, or staff support as needed. Physical Job Requirements: Employee is continuously required to talk and hear; frequently sits, uses hands to finger, handle or feel, and reach with hands and arms; intermittently stands and walks in the performance of the job. Exerting up to 40 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
