Time off benefits for this position include:Paid vacation time and sick leave15 paid holidays, including Federal and Jewish holidays (as long as the holiday lands on a normal scheduled work day), and floating holidays2 Wellness Days to be taken any time during the year to support employees' mental wellnessPosition Overview: Jewish Family Service of San Diego (JFS)'s Patient Advocacy and Housing Services Division provides county-wide patient advocacy services in San Diego, housing/homeless services in Riverside and San Bernadino counties, and the Safe Parking Program in San Diego. The division has over 125 diverse staff members, 10 major contracts with government agencies and health care providers, and over 35 cost centers. This position is a newly created position in response to the exceptional growth the agency and this division have experienced in recent years.The Operations Director will provide on-going, high-level support to the Senior Director of Patient Advocacy and Housing Services. This position requires working closely with the JFS management team, members of the public, funders, and government officials. Duties include composing and preparing materials, coordinating schedules, handling communications and assisting with budgeting and fiscal management.Responsibilities:Build and maintain strong working relationships with internal departments including other programs departments, People & Culture, Finance/Accounting, Facilities, Community Impacts, and Technology ServicesHave knowledge of divisional operations and administrative requirements and assist with contractual (Federal/State/County/City) complianceAssist Directors with executing contractual audits and site visits by various government agencies to ensure agency meets or exceeds requirementsCoordinate all aspects of high-expenditure division purchases/leases, including vehicles, office space and furnishings, including research all permit requirements as applicablePartner with the San Diego based Facilities & Business Operations team on these functions, for Palm Springs & Moreno ValleyRespond to major facility issues in Palm Springs and Moreno Valley, and support responding to facility issues at San Diego safe parking locationsAssist staff with developing and monitoring program and department budgetsTrack expenditures, program budget variances, and propose solutions to address variancesLeverage technology to develop workflows and processes that streamline accounting tasks related to personnel and operational expenses, that get reported in claims and invoicesProvide daily written briefings to the Director to include daily updates, pending issues, potential challenges, and work with the Sr. Director to prioritize and strategize responses accordinglyProvide continued training and education to divisional leadership on administrative/operational functions and tasks for which they are responsibleAttend a variety of meetings on behalf of or in conjunction with the Director or other staff as assignedIdentify shared opportunities across the Division in staff training and professional development to support success, retention, and growth of staff at all levelsCoordinate and assign divisional program staff's participation in community workshops, information sessions, and other outreach activitiesSkills/Experience/Abilities That Are a Must-Have:Master's degree in human services/social work/business administration or related field is preferred, bachelor's degree requiredMust pass pre-employment background checkA minimum of 5 years' work experience managing and administering programs with experience in budget development and managementValid driver's license, access to an automobile, insurance, and willingness to drive to offsite locations including occasional overnight travelSuccessful track record in setting priorities, shaping processes, managing staff and systems, and developing an infrastructure that creates a stronger and more efficient organizationDemonstrated project management, organizational, and leadership skillsExceptional written/oral communication and ability to proofread/edit sensitive documentsHighly proficient in Microsoft Office programs including Teams, Word, Excel, Outlook, and PowerPointKnowledge of confidentiality lawsExcellent interpersonal skills and positive attitudePhysical Requirements:Sit, talk, listen, read, and writeStand, walk, and use hands and arms to use a keyboard and handle papersOccasionally climb or balance, stoop, kneelOccasionally lift and/or move up to 20 poundsConcentration and good hearing are requiredAble to travel including driving/riding in a vehicle for up to 4 hours at a timeImportant Notice: Please submit your resume and cover letter on your application.
