Restoration 1 New Jersey is an established and growing property restoration company specializing in water damage mitigation, fire damage restoration, mold remediation, and residential and commercial reconstruction.

Serving New Jersey since 2012, we work directly with homeowners, businesses, insurance carriers, and Third-Party Administrator (TPA) programs.

We are seeking an experienced, highly organized, and hands-on Accounting & Administrative Operations Manager to oversee our daily bookkeeping, accounting operations, and administrative coordination team.

This is a key management position for someone who combines strong accounting skills with leadership experience and the ability to keep a fast-paced service business organized, efficient, and financially accountable.

Key Responsibilities

Accounting & Financial Management

• Manage daily bookkeeping and accounting functions using QuickBooks Online Advanced.
• Oversee accounts payable, accounts receivable, invoicing, and collections.
• Perform bank and credit card reconciliations.
• Maintain accurate financial records and general ledger accounts.
• Monitor outstanding customer balances and insurance receivables.
• Prepare monthly financial reports for executive management.
• Assist with monthly and year-end closing procedures.
• Monitor project-related expenses, subcontractor payments, and job costing.
• Coordinate with outside accountants and financial professionals.
• Identify opportunities to improve accounting procedures and financial controls.

Administrative Team Leadership

• Directly supervise and manage three project coordinators.
• Establish daily priorities, monitor workloads, and ensure deadlines are met.
• Provide coaching, training, and performance accountability.
• Ensure coordinators maintain accurate and complete project documentation.
• Improve communication between project managers, coordinators, and accounting.
• Develop and maintain administrative procedures and workflows.
• Identify operational bottlenecks and implement solutions.

Insurance Restoration & TPA Administration

• Oversee administrative processes related to insurance restoration and reconstruction projects.
• Monitor compliance with TPA program requirements, including Contractor Connection, Alacrity, and other insurance-related programs.
• Ensure required documentation, approvals, and invoices are submitted accurately and on time.
• Track outstanding invoices, payment delays, and administrative deficiencies.
• Coordinate with project managers to ensure completed projects are properly documented and billed.
• Maintain accountability for timely and accurate processing of insurance-related projects.

Requirements

Qualifications

Required:

• Minimum 5 years of bookkeeping, accounting, or financial administration experience.
• Strong proficiency with QuickBooks Online.
• Experience managing or supervising administrative employees.
• Solid understanding of accounts payable, accounts receivable, reconciliations, and financial reporting.
• Proficiency with Microsoft Excel and general office software.
• Excellent organizational, communication, and problem-solving skills.
• Ability to manage multiple priorities and deadlines.
• Strong attention to detail and commitment to accuracy.

Preferred:

• Experience in construction accounting, insurance restoration, property restoration, or a related industry.
• Familiarity with insurance claims and TPA programs.
• Experience with project-based accounting and job costing.
• Experience using Salesforce or similar CRM systems.
• Familiarity with Xactimate and insurance restoration workflows.
• Experience developing and improving administrative procedures.

We are not looking for someone who simply processes invoices or enters transactions into QuickBooks.

We are looking for a hands-on accounting and administrative leader who takes ownership of the company's financial administration and ensures that the supporting team operates effectively.

The ideal candidate is proactive, detail-oriented, comfortable holding employees accountable, and capable of identifying problems before they affect operations or cash flow.

This individual must be equally comfortable preparing a bank reconciliation, addressing overdue receivables, and supervising an administrative team.
