Accounts Payable Assistant

As we continue to grow, we are looking for a detail-oriented and dependable Accounts Payable Assistant to support our accounting team.
Position Overview
The Accounts Payable Assistant will play a key role in managing vendor invoices, maintaining accurate financial records, and ensuring timely payments. This position requires strong organizational skills, attention to detail, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities
- Process vendor invoices and ensure accurate entry into the accounting system
- Perform three-way matching (Purchase Order → Receipt → Invoice)
- Prepare and process payments, including checks and electronic payments
- Maintain vendor records and assist with 1099 vendor setup and tracking
- Review vendor statements and resolve discrepancies
- Assist with accounts payable reporting, including AP aging and vendor summaries
- Ensure proper expense coding and cost allocation
- Communicate with vendors to resolve billing issues or missing documentation
- Maintain organized documentation and support accounting records
Required Qualifications
- 3–5+ years of Accounts Payable or accounting experience
- Experience with QuickBooks (QuickBooks Enterprise preferred)
- Strong knowledge of Vendor Center, Bills, Bill Payments, Credits, and Purchase Orders
- Experience with invoice processing and check preparation
- Strong proficiency in Microsoft Excel
- Excellent attention to detail and organizational skills
- Ability to manage multiple tasks and meet deadlines
- Reliable and able to work independently
Preferred Qualifications
- Experience working in construction, landscaping, or a related industry
- Experience in multi-user accounting environments
- Familiarity with custom reporting and AP aging reports
- Bilingual (English/Spanish) is a plus
