Payment Processing Specialist Lead

MEXICAN AMERICAN OPPORTUNITY FOUNDATION Job Description Position: Payment Processing Specialist Lead Department: MAOF Payment Processing Department Salary: $26.99 - $28.55 per hour Status: Full-Time (40 hours per week) Reports To: Payment Processing Manager and Vice President of Programs & Services General Summary: Under the direction of the Payment Processing Manager, the Payment Processing Specialist Lead ensures that all child care providers are paid accurately and timely following established MAOF procedures. Responsibilities: Assist and perform duties under the direction of the Payment Processing Manager such as reviewing attendance logs and provider reimbursement request forms for accuracy. Review and calculate total hours and days of child care services utilized during the specified period. Summarize total reimbursement owed to provider using contracted rates or RMR. Prepare reimbursement vouchers for check distribution to provider. Research provider reimbursement adjustment claims. File provider reimbursement requests appropriately. Provide quality customer service to all MAOF clients. Complete all data entry necessary for provider reimbursement download processes. Assist with investigations and resolutions of childcare reimbursement concerns across all programs. Meet assigned goals and performance standards. Retrieve and return all calls received at the extension. Assist with incoming phone calls, returning calls, and messages. Research and document complaints, and resolve issues affecting the program. Provide backup support to the Manager and staff as needed. Maintain understanding of funding terms, agency policies, and compliance regulations. Assist in staff development, workflow creation, team performance, team building, and meeting goals. Assist in preparation of internal and external audits, identifying and correcting errors. Analyze audit findings and develop corrective action plans and training as needed. Assist with processing provider union dues and prepare files for deductions. Prepare files for export/import into accounting database. Generate monthly reports required by subsidy and accounting departments. Attend meetings, conferences, and workshops as assigned. Maintain productive and harmonious work environment with co-workers, supervisors, managers, and directors. Work as part of a team and collaborate with co‑workers. Assist the Payment Processing Manager to meet required deadlines. Other duties may be added, deleted, or changed at the discretion of the Payment Processing Manager. Perform additional assigned duties. Requirements: High School diploma or equivalent. Minimum of 2 years of experience in managing payment subsidy programs. Bilingual in English and Spanish (required). Strong mathematical skills and accuracy. Commitment to excellence with a high level of detail orientation. Sensitivity to cultural, linguistic, and community diversity. Professional representation of MAOF. Computer skills (Microsoft Office, Excel, PowerPoint, Word). Ability to multi‑task and prioritize. Ability to work in a fast‑paced environment. Customer service orientation and pleasant phone manners. Ability to handle sensitive and confidential issues. Work scheduled hours Monday through Friday. Maintain cooperative and diplomatic relationships. Positive attitude and desire to promote child welfare. Sincere commitment to provide quality service to the public. Team work and project completion under tight deadlines. Physical Demands: Regular use of hands, fingers, and arms; frequent sitting; occasional standing, walking, and lifting up to 20 pounds; visual requirements of close and peripheral vision. Work Environment: The work environment is representative of a typical office setting with computer use, frequent phone activity, and occasional handling of paper documents.
