Location: Palo Alto, CA

Salary Range: $80,000

Hours: Monday–Friday | 8:00am–5:00pm

About the Role

A fast-growing AI technology company is seeking a proactive and highly organized Office Coordinator to support day-to-day office operations and workplace experience initiatives. This is an excellent opportunity for someone who enjoys wearing multiple hats in a collaborative, fast-paced startup environment and takes pride in creating a welcoming, organized, and efficient office environment.

Key Responsibilities

  • Manage front desk responsibilities, guest check-ins, and daily office operations
  • Coordinate office logistics, supplies, kitchen/pantry inventory, and vendor relationships
  • Support conference room scheduling, meeting preparation, and visitor coordination
  • Assist with scheduling, event coordination, and workplace culture initiatives
  • Help maintain organized common areas, storage spaces, and overall office presentation
  • Serve as a point of contact for office maintenance requests and operational needs
  • Assist with internal communications, office announcements, and administrative projects
  • Provide basic support for office equipment and day-to-day workplace troubleshooting
  • Partner with internal teams to support operational initiatives as the company continues to grow

Qualifications

  • Ideal candidates will have 1+ years of professional or relevant internship experience.
  • Strong organizational and multitasking skills with the ability to manage multiple priorities at once
  • Professional, adaptable, and solutions-oriented mindset
  • Excellent communication and interpersonal skills
  • Previous office coordination, operations, administrative, hospitality, or customer-facing experience preferred
  • Comfortable working in a fast-paced and evolving startup environment
  • Ability to work independently while maintaining strong attention to detail
