Shift: Day Shift - Monday - Thurs (6:00am - 4:30pm)

Position Summary:
Working under the general supervision of the Project Management Supervisor, the Customer Service Administrator, will act as a liaison between departments as well as customers. Respond to customer inquiries, manage changes to orders, initiate requests to expedite orders. Provide order status updates upon request. Resolve customer complaints and order-related issues. Monitor and support front office.
This position may have access to confidential and proprietary company information. The company's Confidentiality Agreement is strictly enforced.

Essential Functions:
Monitor and update assigned Customer Portals.

• Review and confirm booked orders.
• Respond to Customer inquiries.
• Proactively communicate directly with customers (via phone/email) to provide important and timely details regarding their order status.
• Coordinate with Contract Review to provide any missing information required for job status.
• Assist in obtaining information from the customer by processing orders as needed.
• Problem solve in a timely manner to all customer inquiries and complaints. Escalate customer concerns to Supervisor.
• Complete open order reports with up-to-date customer scheduling information by email or Customer Portal. Monitor order progress to identify potential delays.
• Interface regularly with other departments within the company to expedite and service orders.
• Monitor Pending Report daily and communicate delays and recovery dates to Customer.
• Provide support for Quality and Compliance Departments by obtaining needed documents or specifications.
• Maintain a high level of Customer Service with superior efficiency, accuracy, and urgency.
• Greet visitors or callers, in person or on the telephone; answering or re-directing inquiries as appropriate and take adequate messages when needed.
• Assist with Human Resources administrative duties, such as applicant process, collecting signatures and paperwork, and other HR duties as assigned.
• Oversee visitor security.
• Manage day-to-day office functions.
• Perform other duties and responsibilities as assigned.

Skills, Knowledge, and Experience:

• Minimum of 1-3 years of relevant customer support and/or administrative assistant experience working in an office or clerical environment is required.

• Highly proficient with MS Office (Outlook, Word, Excel) and Internet.
• Strong attention to detail with exceptional organizational skills.
• Excellent research, analytical, and problem-solving skills.
• Ability to multi-task, prioritize, and work independently is essential.
• Excellent written and verbal communication skills.
• Strong judgment and discretion regarding confidential information.
• Ability to adapt quickly to changing priorities and respond to unforeseen requests.
• Ability to interface with all levels of employees and management.
