Richard's Heating and Air Repair, Inc. is a locally owned and family-operated HVAC company with over 25 years of trusted service in the Tri-Valley area. We specialize in residential and light commercial heating and air conditioning installation, repair, and maintenance.

We are seeking a reliable and detail-oriented Full Charge Bookkeeper to manage our financial operations, customer service coordination, and administrative functions.

Compensation & Benefits

• Hourly Pay Range: $30.00 to 33.00 per hour (based on experience)
• Paid Holidays: 7 paid days per year
• PTO / Sick Leave: 5 days per year
  • earned at 1 hour per 30 hours worked
• 401(k): Company match up to 4%

Paid Time Off (PTO)

• 1 week (5 days) during the first year
• 2 weeks (10 days) after Year 1
• 3 weeks (15 days) after Year 2
• 4 weeks (20 days) after Year 5

Benefits are subject to the company's current policies as outlined in the Employee Handbook and are based on the employee's base compensation.

Position Overview

The Full Charge Bookkeeper is a critical role responsible for accurate financial reporting, accounts receivable, accounts payable, payroll, phone support, and overall office administration. This position works closely with the General Manager & Owner and requires strong organizational skills, attention to detail, and excellent customer service.

Key Responsibilities

• Take incoming customer calls and coordinate service scheduling
• Process payroll, calculate sales commissions, and workers compensation payments
• Manage accounts receivable, invoicing, and collections
• Prepare daily deposits and maintain accurate financial records
• Perform job costing and maintain pricing spreadsheets
• Update customer databases and maintain detailed records
• Assist with sales packet processing and job progression tracking
• Reconcile accounts and support month-end closing
• Provide timely reporting to management
• Resolve customer billing and account issues
• Other duties as assigned

Qualifications

• Full Charge Bookkeeping experience (Minimum 2-3+ years preferred)
• Strong proficiency in QuickBooks or similar accounting software
• Excellent customer service and communication skills
• Highly organized with strong attention to detail
• Experience with payroll processing and tax liabilities
• Ability to multitask in a fast-paced environment
• Familiarity with the HVAC/service industry is a plus

What Success Looks Like

• Accurate and timely financial reporting (close books by 12th-15th of the month)
• High accuracy in customer records and job costing
• Excellent cash flow management
• Minimal customer complaints related to billing or scheduling
• Timely processing of payroll, commissions, and warranty paperwork
