Accounts Payable Specialist At NewCold, we support the North American accounts payable/receivable activities as part of the Shared Services Center (SSC) in Chicago. Position Overview The AP Specialist reports to the SSC Manager and is responsible for managing the daily AP processes, including invoice review, vendor setup, and ensuring timely completion of tasks in a complex and fast‑paced environment. Responsibilities Manage daily AP inbox, review invoices, route to proper folders, and clear the inbox daily. Accurately record vendor invoices and handle vendor setup and maintenance. Collaborate daily with the Accounting team, Manager of Shared Services, Project Managers, and Engineers. Own Accounts Payable between NewCold and suppliers and sub‑contractors. Monitor and follow up on open Purchase Orders for project reporting. Assist with month‑end close and various ad‑hoc projects. Drive and push performance in the Accounts Payable process to improve quality and speed. Provide direction and guidance on proper AP/AR procedures. Ensure activities are completed in a timely manner. Qualifications 5+ years of relevant experience in Accounts Payable. Comfortable working in a fast‑paced, complex, transaction‑driven environment. Strong written and verbal communication skills. Quick learner, self‑starter, able to work independently, and able to handle increasing responsibility. Ability to manage multiple projects/tasks and problem‑solve. Experience coding invoices and working with Chart of Accounts. Proficiency with MS Office suite. Ability to follow up on pending issues and meet deadlines. Experience working with US and foreign currencies. Experience partnering with stakeholders, preferably on a global level. Detail‑oriented and able to complete tasks with little to no errors. Supply chain industry experience preferred. Bachelor’s degree required.
