Senior Manager, HCP Program Operations

Role Description

This position reports into the Associate Director, HCP Program Operations, and will work directly with our brand teams, Legal and E&C to manage Promotional Programs. The role supports cross-functional initiatives to execute promotional program tactics aligned with established business rules in partnership with Ethics and Compliance, Legal, IT, and other matrix teams.

• Execute and monitor performance metrics for promotional programs to support department objectives.
• Provide operational support and recommendations to the marketing teams on their PME initiatives.
• Manage the logistics vendor for successful execution of all bureau activities including:
  • Speaker nominations
  • Contracting
  • System configurations
  • Budget allocations
  • Program confirmations
  • Close outs
  • Sunshine Reporting
• Track and report on bureau and vendor performance reviewed quarterly with key stakeholders.
• Oversee the process and submitter trainings; evaluate and streamline the submission process and training for ease of use and complete/accurate submissions.
• Focus on customer service, performance against established metrics, and continuous improvement.
• Demonstrate strong stakeholder management by proactively building relationships, aligning cross-functional partners on priorities, and ensuring clear, consistent follow-up communications.
• Work directly with marketing teams to provide operational support for Promotional Speaker Program initiatives.
• Provide recommendations and direction to Contract and Logistics Vendor.
• Manage weekly core team meetings.
• Monitor and track vendor effectiveness and performance; hold quarterly business review meetings with vendor.
• Provide recommendations on system enhancements to meet business and field needs in a changing environment.
• Coordinate with E&C and Legal to review Promotional Program execution and new tactics.
• Support cross-functional initiatives to establish logistics tool/system and processes for new business rules, event types, or metrics.
• Lead Speaker Nomination and Contracting process for Bureau Launch.
• Review and maintain updated Field Training and Business Rule Documentation.
• Work with Aggregate Spend Core team and Speaker Bureau Vendors to provide necessary data for Speaker Programs to the Aggregate Spend reporting system (Porzio).
• Manage Speaker Bureau Data Remediation Process.
• Identify areas of opportunity to enhance processes to meet business requirements efficiently and compliantly.
• Develop team and skill sets to meet further business needs.

Qualifications

• BA/BS degree
• Minimum of 7 years within the pharmaceutical industry.
• Experience managing vendors and IT projects.
• Strong knowledge/experience working with Promotional Speaker Programs.
• Demonstrated proficiency with business analysis, written and verbal communications, presentation, and interpersonal skills.
• Initiative, problem-solving skills, and a focus on continuous improvement.
• Hands-on experience with sales force automation systems (or equivalent), Microsoft Access (or equivalent), PowerPoint, Excel, and Word.
• Pharma Compliance Experience or strong knowledge of Pharma Code as it pertains to field promotional activities.

Requirements

• Experience within Pharmaceutical Sales Force Compliance role (preferred).
• Sales or Sales Operations experience (preferred).
• Experience in other Sales, Marketing, or Sales Operations areas (e.g., Sales Training, Marketing, etc.) (preferred).
• Experience supporting or working with multiple business units or therapeutic areas (preferred).
