The Roofing Project Coordinator is responsible for managing the daily administrative and operational support of the Roofing Department. This role oversees office personnel, permitting activities, project scheduling coordination, customer communication, vendor relationships, production documentation, and administrative processes that support efficient roofing operations. The Roofing Office Manager serves as the primary administrative leader for the roofing business and partners closely with Roofing Production, Sales, Service, and Finance teams to ensure projects move efficiently from contract execution through completion and closeout. Adapted from the Roofing Manager position structure provided. ESSENTIAL DUTIES AND RESPONSIBILITIES: Outcomes: Efficient administrative support of roofing production operations. Manage daily administrative functions supporting roofing installations, repairs, reroofs, and service projects. Develop and maintain department workflows, processes, and documentation standards. Ensure roofing projects are properly set up, documented, and tracked through completion. Monitor project administrative milestones, including Designs, BOMs, permits, inspections, material deliveries, and job closeout requirements. Keep strong relationships with subcontractors and initiate all subcontracts Identify process improvement opportunities to improve departmental efficiency and customer experience. Scheduling & Production Coordination Outcomes: Schedule accuracy and operational readiness. Coordinate production schedules with Roofing Manager, Foremen, and Customers. Coordinate, crew scheduling, material delivery coordination, and inspection scheduling. Monitor job readiness and ensure required documentation is complete before project starts. Communicate schedule changes and project updates to customers and internal stakeholders. Support project closeout and final documentation processes. Work with service team to schedule roofing service calls Manage all sub-contractors schedules and sub-contracts Manage all project change orders with HO and sub-contractors Permitting & Compliance Outcomes: Timely permit and inspection management. Oversee permit application, submission, tracking, and approval processes. Coordinate inspections with local jurisdictions and regulatory agencies. Maintain permit records and compliance documentation. Ensure project files meet company and regulatory requirements. Customer Service & Communication Outcomes: Customer satisfaction and professional communication. Serve as a primary point of contact for administrative customer inquiries. Manage customer communications related to scheduling, project status, inspections, and project completion. Assist in resolving customer concerns and escalations. Ensure customers receive timely, accurate, and professional communication throughout the project lifecycle. Support customer satisfaction initiatives and project follow-up. Team Leadership Outcomes: Administrative team performance and development. Direct administrative coordinators, schedulers, permitting specialists, and office support personnel. Establish departmental expectations and performance standards. Support recruiting, onboarding, training, coaching, and performance management. Promote accountability, teamwork, and continuous improvement. Develop cross-training programs to improve departmental flexibility and support. Vendor & Material Coordination Outcomes: Administrative support of procurement activities. Coordinate with suppliers, distributors, manufacturers, and vendors. Support material ordering processes and delivery scheduling. Track vendor performance and maintain vendor relationships. Assist with invoice reconciliation and purchasing documentation. Ensure project teams receive accurate material and delivery information. Reporting & Department Support Outcomes: Accurate reporting and administrative controls. Prepare operational reports related to production, permitting, scheduling, and customer service metrics. Maintain roofing department records and documentation. Track departmental KPIs and assist leadership with performance reporting. Support budget tracking and administrative cost controls. Assist leadership with special projects and operational initiatives. SUCCESS MEASURES: The Roofing Office Manager will be evaluated on: Permit turnaround times Scheduling accuracy Customer satisfaction Administrative quality and accuracy Inspection pass rates Job readiness performance Project closeout cycle times Office productivity Employee development and retention Internal stakeholder satisfaction COMPENSATION RANGE: The base pay for this position ranges from $26.00 to $36.00 per hour, based on experience. SUPERVISORY REPSONSIBILITIES: None QUALIFICATIONS AND EDUCATION: High school diploma or GED required; Operations Coordination, Construction Coordination, related experience preferred. Minimum of 3 - 5 years of Roofing orientated experience in office administration, operations coordination, construction administration, or project support required. Experience supporting roofing, construction, home improvement, solar, or related trades is strongly preferred. Experience with permitting, scheduling, production coordination, and customer service preferred. Valid driver's license preferred. KNOWLEDGE AND ABILITIES: Strong knowledge of roofing operations, construction administration, project coordination, scheduling, and permitting processes. Ability to manage multiple priorities in a fast-paced production environment. Strong organizational and time-management skills. Excellent customer service and communication abilities. Ability to work effectively with field operations, sales teams, vendors, customers, and leadership. Ability to identify and resolve administrative bottlenecks before they impact project execution. Strong attention to detail and commitment to process compliance TECHNICAL SKILLS: Proficiency in Microsoft Office Suite, Outlook, Excel, Teams, and Word. Experience with CRM, ERP, and construction management software. Strong reporting, data management, and document control skills. Ability to manage project documentation, permits, inspections, and scheduling systems. Experience with digital workflow and document management platforms. WORK ENVIRONMENT: Primarily office-based with regular interaction with roofing field personnel, customers, suppliers, and local jurisdictions. Occasional visits to jobsites, warehouses, and customer locations. Frequent use of computers, scheduling software, phones, and office equipment. PHYSICAL DEMANDS: Standard office environment. Individual will frequently be required to stand, walk, sit, talk, and hear. Occasionally may have to lift boxes full of materials for purposes of setup of programs, typically 25 pounds or less. Periodic travel to jobsites and company facilities may be necessary. The starting salary for this opportunity range is listed. Other rewards may include annual bonus eligibility, which is based on company and individual performance, short- and long-term incentives, and program-specific awards.
