Our client is seeking an experienced Director of Conference & Reception Services to oversee the engagement and experience of all clients, guests, vendors, and associates entering a premier corporate workplace environment. This leader will ensure hospitality policies and procedures are consistently executed while driving maximum efficiency and continuously elevating the overall service program.

This role requires a highly engaged, hands-on leader who takes full ownership of service delivery, operational processes, and business outcomes. The successful candidate will act as a trusted advisor to clients and stakeholders, proactively identifying opportunities, recommending solutions, and driving results rather than simply executing requests.

The ideal candidate brings a sophisticated hospitality mindset, exceptional attention to detail, and the ability to lead by example while maintaining an energetic, polished, friendly, and approachable presence.

Essential Job Functions:

• Support, manage, and execute senior leadership-level events strategically while demonstrating professionalism and ownership.
• Develop and implement innovative programs that elevate engagement, optimize space utilization, and increase service impact.
• Partner closely with client operations teams, analyzing data, feedback, and trends to identify continuous improvement opportunities and enhance holistic service delivery.
• Provide clients and site leadership with regular data and reporting regarding hospitality operations, events, after-hours activity, service levels, and operational concerns.
• Continuously evaluate service models and recommend enhancements that elevate the user experience and improve operational effectiveness.
• Serve as a highly visible point of contact, ensuring expectations are understood, communicated, and exceeded.
• Partner cross-functionally with client and operations teams to deliver cohesive solutions that enhance both the guest journey and employee productivity.
• Oversee day-to-day reception services, meetings, conferences, and events.
• Maintain consistently high service standards across all areas while ensuring guest satisfaction goals and KPIs are achieved.
• Train and mentor team members to deliver exceptional hospitality in every guest interaction.
• Identify areas that are not meeting established standards and implement appropriate process improvements.
• Ensure team members are engaged and participate in individual and team development programs.
• Conduct daily team meetings incorporating service, communication, and employee recognition.
• Develop and adapt training materials, guides, manuals, and procedures to support ongoing team development and operational excellence.
• Conduct internal audits of guest service functions to ensure client-specific standards are consistently achieved.
• Complete daily, weekly, and monthly reporting and present findings during monthly business reviews.
• Manage and develop weekly team schedules, adjusting labor and staffing levels according to business needs.
• Develop, maintain, and update Standard Operating Procedures for all relevant roles and responsibilities.
• Maintain a strong focus on strategy, introducing new hospitality concepts and identifying opportunities for greater operational efficiency.
• Build consensus and influence team members to achieve departmental goals and objectives.
• Manage multiple priorities, projects, and operational needs simultaneously.
• Create individual development plans and conduct annual performance reviews for hospitality team members.
• Develop and maintain daily operational information for Concierge and Conference Services teams.
• Ensure reception desks, conference rooms, lounges, and other guest-facing areas are consistently presentable, operational, and maintained to the highest standards.
• Provide senior leadership with regular feedback regarding team performance, highlighting successes and identifying opportunities for improvement.
• Work across multiple areas of the operation as needed; this is a hands-on management position.
• Maintain and enforce professional appearance and dress standards.
• Perform additional duties as assigned.

Teamwork & Communication

• Communicate effectively with peers, team members, clients, and management while maintaining accuracy and attention to detail in both verbal and written communication.
• Maintain strong awareness of daily business activity and communicate relevant updates to the team.
• Ensure important information is effectively passed between colleagues and departments.
• Provide operational support according to business needs, including coverage, callouts, and general team assistance.
• Facilitate the onboarding and training of new associates and ensure required training procedures are completed.
• Participate in cross-training across departmental functions to maintain a flexible and knowledgeable team.

Working Environment

• Maintain polished, organized, and highly presentable guest-facing and working areas at all times.
• Identify and report maintenance issues, hazards, and cleaning needs to the appropriate teams and monitor progress through resolution.
• Deliver consistent, high-touch hospitality and translate client needs into operational solutions that enhance satisfaction and retention.

 Preferred Qualifications

• Bachelor’s degree preferred.
• Minimum of 3–5 years of relevant hospitality leadership experience .
• Previous experience in conference services management strongly preferred.
• Candidates coming from Michelin-starred restaurants, luxury hotels, private clubs, or other high-touch hospitality environments will also be considered.
• Exceptional customer service and guest-relations abilities.
• Strong quantitative, written, and verbal communication skills.
• Excellent problem-solving, strategic thinking, and organizational capabilities.
• Advanced proficiency in Excel and PowerPoint.
• Proactive mindset with the ability to anticipate and adapt to evolving business needs.
• Demonstrated commitment to the highest standards of personal integrity and professional conduct.
• Ability to lead from the floor and remain actively engaged in day-to-day operations.
