Hospitality Coordinator New Heights Bentonville | Job Description Hours: 15 hours weekly, part-time. ABOUT NEW HEIGHTS New Heights Bentonville is a non-denominational evangelical church in Bentonville, Arkansas, in the heart of one of the fastest-growing regions in the country. We are a church of 800+ that holds to historic Christian doctrine and exists to make disciples who love God passionately and love people tangibly. We are in a season of growth, including a new building project and a 2030 vision that is shaping every area of our ministry. WHY THIS ROLE EXISTS Most people decide whether they will come back before anyone preaches a word. They decide it in the parking lot, at the door, and in the first ninety seconds inside the building. We have first-time guests every Sunday. Some of them are visiting a church for the first time in years. Some have never been. This is a volunteer leadership role. Sunday morning runs on about [50] volunteers across nine teams. Your job is to make sure every one of those spots is filled by someone who is trained, scheduled, and glad to be there. WHAT YOU WILL DO Lead the Sunday Morning Experience Own the guest experience from the parking lot to the seat Oversee Sunday morning teams: Ambassadors, Greeters, Ushers, Parking, Coffee, Communion, Donuts, Security, and Offering Ensure setup and teardown of hospitality spaces and supplies Monitor parking placement and flow for safety and accessibility Ensure connection cards and first-time guest information are collected and routed to the ministry team the same day Coordinate parking lot treatment in inclement weather Recruit and Develop Volunteers Recruit, train, and schedule volunteers across all hospitality teams Maintain a volunteer roster with enough depth that no team runs short Ensure every hospitality volunteer completes a background check Hold regular gatherings for training, vision, prayer, and encouragement Pray with and spiritually encourage volunteers, and build a culture of joy and service Cast vision for hospitality as a ministry of the church, not a set of tasks Coordinate Safety Collaborate with the security team and off-duty officers Ensure volunteers know entry points, protocols, and their role in the church emergency response plan Participate in emergency drills and training as scheduled Communicate hospitality plans that affect safety and access Ensure Access for Everyone Maintain accessible parking, entry, and seating Coordinate assistance for guests with mobility, hearing, or other needs Own Signage and Wayfinding Maintain interior and exterior signage so a first-time guest can find the auditorium, kids check-in, and restrooms without asking Update materials and signage through the rebrand and the building transition Signage design and production are approved by the Executive Pastor and produced with the creative team Support Special Services and Events Plan and lead hospitality for baptisms, membership classes, Christmas Eve, Easter, vision nights, and ministry fairs Coordinate hospitality for funerals, weddings, and memorial services Support all-church events as assigned Manage Administration and Supplies Maintain schedules, rosters, and volunteer communication Track and record weekly attendance and report to the Executive Pastor Track supply inventory and place orders within the approved budget Submit receipts and stay within the approved hospitality budget Coordinate with the facilities team on setup, cleaning, and maintenance needs Report monthly to the Executive Pastor on volunteer fill rate and hospitality team health Other duties as assigned by the Executive Pastor Be Part of the Team Attend the weekly Sunday service planning meeting Attend staff meetings, retreats, and planning seasons as scheduled Contribute beyond hospitality where your gifts fit the need Support the Building Transition Contribute to planning for parking flow, entry points, and guest experience at the New Hope Road facility Recruit and train additional volunteers as the transition timeline requires Transition planning is a shared effort led by the Executive Pastor. Scope and hours for this work will be defined together as the timeline develops. WHAT 15 HOURS LOOKS LIKE Sunday morning, arrival through teardown: 5 hours Volunteer recruiting, training, and scheduling: 5 hours Sunday service planning meeting: 1.25 hours Supplies, planning, administration, and reporting: 2.75 hours Flex: 1 hour Special event weeks and seasonal pushes may run to 18 hours. The Executive Pastor will approve hours above the normal rhythm in advance. WHAT SUCCESS LOOKS LIKE IN YEAR ONE Every hospitality team is fully staffed with trained, background-checked volunteers Connection cards and guest information reach the ministry team the same day, every week A guest can find the auditorium, kids check-in, and a restroom without asking anyone Volunteers show up because they want to, not because you called them Saturday night You have helped get our volunteer teams ready for the New Hope Road building before we walk into it We will set specific targets together and review them at 90 days, six months, and one year. This role cannot be covered week to week Valid driver’s license and reliable transportation for supply errands Agreement with the beliefs, mission, and doctrinal statement of New Heights Bentonville A life and conduct consistent with the beliefs and doctrinal statement of New Heights Bentonville, including our convictions on sexuality, marriage, integrity, and speech Availability every Sunday morning, including holidays Availability for the weekly Sunday service planning meeting Availability for special services and events outside Sunday mornings Covenant membership at New Heights within 90 days of hire, and ongoing participation in a community group Successful completion of a background check and completion of periodic rescreening as required PHYSICAL REQUIREMENTS This role includes standing and walking for extended periods, moving between the parking lot and the building in all weather, lifting and carrying supplies up to 25 pounds, and setting up and tearing down event spaces. HIRING PROCESS Application review, phone screen with the Executive Pastor, in-person interview with the Executive Pastor and a hospitality team lead, and a Sunday morning observation.
