(Job #560601) Administrative Support Assistant II 10/12, Receptionist, CSU Classification Salary Range: $2,971 – $4,243 per month (Step 1- Step 19), Anticipated Hiring Range: $2,942 - $3,280 per month (Step 1-6). Final salary placement is commensurate with experience, internal equity, and budget considerations. This is a, full‑time, benefited, non‑exempt, 10‑month pay plan (work 10 months of the year with pay and benefits over 12 months) permanent position with a one‑year probationary period in Counseling and Psychology services Department. Position Summary Under the general supervision of the Counseling Center Director the incumbent will perform a variety of general office clerical and reception related duties in support of Student Health and Wellbeing Services, with a primary assignment within Counseling & Psychological Services. Key Responsibilities First points of contact: 50% First point of contact with the public, face‑to‑face, over the telephone, or via email providing them with departmental information and guidance. Maintain confidentiality at all times. Receive and direct incoming calls appropriately, and take complete messages for call‑backs. Manage the CAPS phone lines as first point of contact. Schedule, reschedule, cancel, & confirm client appointments, entering pertinent information into our EMR (electronic health record/scheduling systems) and maintaining their basic information as necessary. Notify providers of changes in appointment status when appropriate. This includes handling the scheduling needs for our practicum students at our CAPS BSS office, and psychiatry appointments, whether in person or through telehealth. Check‑in clients for appointments. Assist students with filling out health forms on tablets as needed and upload forms into their electronic files in our EMR. Explain our no‑show policy to clients. Stay abreast of current CAPS groups and inform interested students about groups and procedures before joining a group. Assist clients in completing requests to release psychotherapy records. Provide general guidance and basic leadership to student assistants when necessary. Request temporary parking permits for visitors as needed. Clerical Duties – 15% Receive and distribute departmental mail. Scan and import files into our EMR. Make photocopies, handle phone calls, and perform other reception tasks for staff as needed. Must be flexible with work hours and may be required to cover some evening hours. Maintain bulletin boards with up‑to‑date information. Assist in opening and closing of the office and assuring that any confidential material is secure. Stay abreast of CAPS website and of upcoming outreach and psycho‑educational workshops to best inform the public. Basic cleaning and organization of front desk and waiting room area. Provide general clerical assistance to the CAPS director, office coordinator, staff/faculty and practicum students. Assist with special projects, such as keeping social media avenues (Instagram, TikTok) up to date. Knowledge of procedures in Student Health & Counseling (SHC) in order to provide general clerical assistance within the medical realm as needed and to coordinate care with the medical front office receptionists Crisis Screening – 15% Calmly and with sound judgment, screen counseling crisis contacts which can involve students as well as distraught parents, University Police, faculty and staff. Appropriately schedule student in crisis for appointment as necessary. Notify clinicians & CAPS Director of current crisis situation and if necessary, notify University Police Department for support. Be aware of and follow established policy for handling emergency situations reported by telephone or in person. Publicity – 10% Support the coordination of the group marketing program with input from staff therapists. Large part of the group program involves the room scheduling for each group session (using 25Live, our EMR / Google Calendars, etc.) Responsible for the production and circulation of professional quality posters, brochures, bookmarks, handouts, etc. Provide CAPS staff, including practicum students at the BSS site, with a master list of all offered groups along with the locations, times and details. Responsible for keeping the master list up to date. Advertising of CAPS groups and other services on social media sites, throughout campus, etc. Provides guidance and information in response to outside inquiries, including Cal Poly Humboldt staff, faculty, and administrators, vendors, students, and parents. Knowledge, Skills, and Abilities Associated with this Position Include: Additional Administrative Tasks – 5% Process the Counseling Evaluations project under the lead of the Office Coordinator. Including, but not limited to, aiding clients in completing evaluations, sorting and scoring the evaluations as needed and creating evaluation results documents for the counselors and directors use. Providing extra support and guidance to the Practicum Students at the BSS site, including but not limited to: additional notifications of scheduling adjustments, acting as initial liaison between practicum students and SHC staff clinicians for scheduling of shadows, aiding the practicum students on office processes beyond the counseling scope (e.g. electronic referrals between the medical, and counseling teams) Assist in the Peer Review project by gathering and tallying each counselors peer review summaries for the CAPS directors review. Special projects as requested. Other duties as assigned – 5% Minimum Qualifications Entry to this classification requires fundamental written and oral communication skills, including a sound foundation in English grammar, spelling, and punctuation; an ability to understand standard office procedures; an ability to operate standard office equipment; an ability to learn office technology systems; an ability to perform basic mathematical calculations; and typing and keyboard skills. These entry qualifications would normally be obtained through completion of a high school program or its equivalent and some experience in an office environment.
