Your responsibilities will include a variety of tasks to support office operations and the coordination of a range of international education opportunities.

We're seeking candidates with a strong understanding of FERPA, HIPAA, as well as state, federal, and university policies to help ensure compliance and protect student data throughout all processes. What You Need to Know

Salary: $52,000.08/annually.

Essential Duties/Tasks

Project Coordination

• Plans, coordinates, and executes long-term project plans.
• Serves as a resource or primary contact for office procedures.
• Coordinates multiple workstreams to ensure internal business functions are properly identified, managed, and aligned.
• Manages the routing and approval of memoranda and business transactions, including IDTs, OneCard payments, and fee memos.
• Assists with contract processing and tracking for assigned areas.
• Monitors financial activities and prepares related reports for assigned projects.
• Ensures compliance with University policies, rules, and regulations related to operations and financial transactions.
• Serves on committees, workgroups, and special project teams.
• Coordinates operational activities for various program types.
• Provides operational support to the planning and execution of outreach activities and events.

Operations

• Coordinates and executes daily office operational activities.
• Processes payments for various platforms, including but not limited to: Via TRM, answering services, and IT purchases.
• Maintains a tracking spreadsheet of approved third-party billing payments.
• Manages financial transactions for passport operations.
• Obtains tax forms to process payment to U.S. and foreign vendors.
• Generates DCS's and paperwork to Academic Accounting & Business Services (AABS) for payments to foreign vendors for programs managed in pass through accounts.
• Liaises with AABS and Student Business Services (SBS) regarding business inquiries, processes and reports.
• Maintains Emburse processes and assists staff with pre-travel authorizations and expense reports for their business travels.

Unit and Team Support

• Supports staff with student fee postings, tracking, withdrawals, and refunds.
• Assists with student coding and attributes in registration and application platforms.
• Enrolls students and program leaders in the international insurance plan and processes changes and refunds when necessary.
• Prepares progress reporting and budget updates for review.
• Trains staff on new and existing procedures, regulations, and policies related to operations and business transactions.
• Tracks program data across multiple platforms.
• Maintains database integrity, security, and accuracy.

Supervision:

• Oversees day-to-day functions, which may include supervising student workers.

Qualifications

Required Education and Experience:

• Bachelor’s degree or equivalent combination of education or experience.
• Four years of related experience in project coordination or administration.

Knowledge, Skills, and Abilities:

• Ability to multitask and work cooperatively with others.
• Knowledge of word processing, spreadsheet, and database applications.
• Strong verbal and written communication skills.
