Front Desk Receptionist

Role Description This is a full-time, on-site Front Desk Receptionist role based in New York, NY. The Front Desk Receptionist will greet and check in visitors, maintain a professional reception area, and serve as the first point of contact for clients and guests. Daily responsibilities include answering and directing incoming calls, managing voicemails, and handling general inquiries with a courteous and professional demeanor. The role also involves performing routine clerical tasks such as sorting and distributing mail, scheduling and confirming appointments, managing conference room calendars, and coordinating deliveries. The Front Desk Receptionist will support attorneys and staff with administrative tasks as needed and help ensure that front office operations run smoothly and efficiently.
Qualifications
  • Strong receptionist capabilities, including Receptionist Duties such as greeting visitors, managing check-in procedures, and maintaining a professional front desk environment.
  • Professional Phone Etiquette and Communication skills to handle multi-line phone systems, route calls accurately, and interact clearly and respectfully with clients, vendors, and colleagues.
  • Clerical Skills to manage filing, data entry, scheduling, mail distribution, and basic office systems with accuracy and attention to detail.
  • Customer Service skills to provide a welcoming, responsive, and solution-oriented experience for visitors and callers.
  • Proficiency with common office software (e.g., email, calendars, word processing), and comfort learning legal office technologies.
  • Ability to prioritize tasks, manage time effectively, and maintain composure in a busy, professional environment.
  • Reliable attendance, punctuality, and a professional appearance consistent with a law firm setting.
  • Prior front desk, reception, or office administration experience in a professional services environment preferred; experience in a law firm is a plus.
