We are seeking a dedicated Receptionist to handle front desk operations in a small, busy office setting during standard business hours. The ideal candidate will efficiently handle greeting visitors, appointment scheduling, and call management while maintaining accurate records and supporting customer needs. The receptionist will be handling a multi-line phone system and inputting maintenance work orders as well as setting up rental showings. This role requires discretion in handling confidential information and proficiency with standard office software, including Microsoft Office and Property Boulevard Software.
Responsibilities
- Handle front desk activities and ensure smooth office operations
- Greet and assist visitors in a professional and friendly manner
- Handle incoming calls and route them appropriately
- Schedule and coordinate appointments effectively
- Perform accurate data entry and maintain record keeping
- Provide exceptional customer support and address inquiries
Required Qualifications
- Minimum 1 year experience in reception or administrative roles
- High school diploma or equivalent
- Proficiency with Microsoft Office and Property Boulevard Software
- Strong telephone etiquette and customer service skills
- Effective time management and organizational abilities
- Excellent communication and problem-solving skills
- Knowledge of HIPAA regulations and confidentiality protocols
