I. JOB OVERVIEW
Executive Associate, Student Affairs provides administrative and operational support for the Office of the Vice President and Dean of Students (VPSA). This position serves as the primary administrative coordinator for the Vice President and Dean of Students, manages the daily operations of the Division of Student Affairs front desk, supervises student employees supporting the front desk and VPSA communications, and coordinates VPSA events and special projects. The Executive Associate, Student Affairs reports to the Assistant Vice President of Operations and Administration and provides administrative, operational, and executive support to ensure the effective coordination of office priorities, daily operations, and special initiatives. Primary Responsibilities Executive and Administrative Support Manage the daily calendar, scheduling, and meeting logistics for the Vice President and Dean of Students. Oversee the VPSA Schedule inbox, providing timely, professional responses and coordinating scheduling requests on behalf of the Vice President and Dean of Students. Respond to inquiries and route requests to the appropriate divisional staff, exercising sound judgment to elevate issues and seek guidance when appropriate. Prepare meeting agendas, briefing materials, presentations, correspondence, and follow‑up communications. Coordinate travel arrangements, meeting logistics, and special appointments. Conduct research and gather information for reports, presentations, strategic initiatives, and other projects. Assist with special projects and initiatives on behalf of the Vice President and Dean of Students. Manage DSA Central digital and physical files, contact lists, and other operational records. VPSA Social Media Supervise student employees responsible for the Vice President and Dean of Students' social media and communications. Lead the planning and coordination of the VPSA's social media content calendar to promote the Vice President and Dean of Students' brand, initiatives, events, announcements, and key messages. Assist with managing VPSA calendars, listservs, and communication tools. VPSA Events and Special Projects Coordinate logistics for VPSA meetings, programs, events, and special initiatives. Support planning and execution of VPSA‑sponsored events, leadership meetings, and special programs. Coordinate event logistics, schedules, materials, and student staffing for VPSA events. Recommend improvements to administrative processes that enhance efficiency and customer service. Division Front Desk Operations Oversee the daily operations of the Division for Student Affairs Suite front desk to ensure exceptional customer service for students, families, faculty, staff, and visitors. Supervise, schedule, train, and evaluate student employees assigned to the Division front desk. Develop and maintain front desk procedures and customer service standards. Monitor shared office email accounts, telephone communications, and correspondence, ensuring inquiries are directed to the appropriate resources. Student Staff Supervision Recruit, hire, onboard, train, schedule, and supervise student employees supporting: Division for Student Affairs Front Desk Operations VPSA Communications and Events Provide ongoing coaching, mentorship, and performance feedback to student staff. Coordinate student employee hiring and payroll documentation in collaboration with Human Resources. Maintain staffing schedules to ensure appropriate office coverage and event support. Administrative Support Help coordinate the day‑to‑day administrative operation of the Student Affairs suite including: Coordinate purchases of common office supplies and shared goods for the Student Affairs Suite. Manage printer contracts, maintenance, and repair requests for the Student Affairs Suite. Submit and monitor Fix‑It work orders for facilities‑related issues within the Student Affairs Suite. Maintain operational records, inventories, contracts, and administrative systems. Coordinate office equipment, supplies, and vendor services. Perform additional duties as assigned in support of the Division of Student Affairs. Minimum Qualifications Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. Preferred Qualifications Experience providing administrative or executive support. Experience managing executive calendars and coordinating meetings. Experience supervising student employees or part‑time staff. Experience coordinating programs or events. Excellent customer service and interpersonal skills. Strong written and verbal communication skills. Experience managing social media content. Proficiency with Microsoft Office, Google Workspace, Adobe Acrobat, and collaboration platforms. Exceptional organizational skills and attention to detail. Ability to exercise sound judgment, maintain confidentiality, and manage competing priorities. Ability to work independently while building collaborative relationships with students, faculty, staff, and campus partners. Familiarity with higher education or student affairs environments preferred. Knowledge, Skills, and Abilities Strong organizational, administrative, and project management skills. Excellent time management with the ability to prioritize multiple responsibilities in a fast‑paced environment. Professional judgment and discretion when handling confidential information.
