Manager, Special Events, Continuing Education

Job Summary The Manager of Special Events is responsible for designing, implementing, and coordinating a comprehensive events program that promotes interaction with and recognition of donors and alumni at all levels. The role requires periodic in-person and hybrid weekend and after-hours support for live continuing education activities, conferences, grand rounds, and other accredited programs. Responsibilities Manage and coach the activities of assigned special events staff to ensure all functions are achieved. Coordinate, plan, strategize, and organize the production of special events and programs by structuring staff responsibilities, setting goals and objectives, creating timelines, problem‑solving, and financial management. Manage special events team coordination and day‑to‑day operations to ensure upcoming event timelines are met. Serve as lead liaison and provide proactive consultation throughout event development and execution to seek opportunities to enhance service and potential return. Negotiate and review vendor contracts, establish a network of vendors, and make decisions with vendors at events. Facilitate events, including providing direct supervision and leadership of personnel and contract staff hired for each event. Establish and monitor event budgets and resources, managing reconciliation of all final invoices and deliverables. Complete event approval forms, event data, and reports to ensure office compliance and standards. Update and maintain all electronic event files. Manage special projects and work on planning committees for donor appreciation receptions and dinners, building dedications, lectures, meetings, luncheons, symposiums, etc. Serve as backup to the Director of Special Events. Oversee coordination of mission tours for the Office of Development and Alumni Relations. Collaborate on special events partnered with the Southwestern Medical Foundation. Perform other duties as assigned. Qualifications Education - Bachelor's Degree or equivalent. Experience - 5 years in event planning and special events; extensive experience with complex budgets, preparing financial spreadsheets, and tracking expenditures. Preferred experience - Experience using constituent relationship management databases related to event modules; supervisory experience preferred.
