This position plays an integral role in the overall client experience, requiring a professional who can balance administrative precision with genuine warmth across a wide range of interactions — including those of a sensitive or emotionally complex nature.Qualified candidates will bring demonstrated experience managing high-volume front desk operations, a calm and composed presence under pressure, and a commitment to delivering consistent, high-quality customer service in a clinical setting.What to ExpectAs you join our team, expect to be supported in your work and home life with:A comprehensive benefits package, including medical, dental, and vision insurancePaid time off and a 401(k) plan for full-time employeesProfessional development opportunitiesSalary: $18.00-$22.00 dependent on skills and experienceSchedule: Monday& Wednesday 7AM-7:30PM, Tuesday, Thursday and Friday 7AM-6:30 PM, Rotating Saturdays 7:30AM-12:30PMResponsibilitiesGreet and check in clients and patients, verify and update medical records, and confirm appointment details using practice management softwareAnswer and manage a multi-line telephone system, responding to inquiries regarding appointment scheduling, prescription refill requests, vaccination records, and general hospital informationPerform client check-out, including processing payments, posting charges, explaining invoices, and scheduling follow-up appointmentsCommunicate medical information, diagnoses, and care instructions accurately and compassionately, including in emotionally sensitive situations such as euthanasia scheduling and end-of-life discussionsMaintain accurate electronic medical records (EMR) and ensure timely data entry in the veterinary practice information management system (PIMS)Coordinate with veterinarians, veterinary technicians, and support staff to relay client communications, flag urgent cases, and maintain efficient patient flowMaintain cleanliness and organization of the reception area and waiting room to ensure a positive client experienceQualificationsMinimum 1 year of experience as a veterinary receptionist, veterinary CSR, or medical receptionist in a clinical settingExperience with veterinary practice management software; Cornerstone, Avimark, ImproMed, eVetPractice, or ezyVet preferredKnowledge of veterinary medical terminology, vaccination protocols, and basic diagnostic proceduresProficiency in appointment scheduling, multi-line phone management, medical records management, and payment processingProven customer service skills; ability to manage high-volume client relations with composure and accuracyStrong verbal and written communication skills, including active listening and conflict resolutionComfortable handling animals of varying sizes, breeds, and temperaments, including fearful or reactive patientsAbout East Greenbush Animal HospitalThe staff at the East Greenbush Animal Hospital are proud to offer quality and compassionate veterinary health care to the people and pets of the Capital District. We are a full service animal hospital that offers preventative veterinary care, orthopedic and soft tissue surgery, dentistry with dental radiography, internal medicine, digital x-ray and ultrasound. We also offer boarding, grooming, obedience training and daycare. Visiting specialists are available for cases that may need additional expertise. The open floor plan of our 7200 square foot, state of the art facility is designed to maximize comfort and minimize stress for both our patients and their owners.
