JOB SUMMARY AND PURPOSE The Human Resources Service Operations Lead is tasked with streamlining HR functions at the direction of PRP Specialist / HRST Supervisor as well as leading employees in the Operations area of HR: reporting on HR metrics related to onboarding and offboarding, managing termination processes, HRIS Onboarding system functioning, other add-on HR systems, process improvement, and special projects. The Human Resources Service Operations Lead heads the day-to-day efforts of the HR Service Team - HR Associates HR Assistants, and Office Assistants - in the delivery of HR services to employees. Oversees the HR Service team as they address human resource inquiries from employee incoming calls and e-mails. Leads the onboarding process of new hires; assigning service teams to perform new hire paperwork, organize and conduct orientation, and offboarding of employee. Trains service team to perform triage and refer inquiries to HR Compliance, HR Employee Relations, Recruiting Team or HR Classification Compensation/Benefits that cannot be handled by HR Service Team. Coordinates with Payroll department the resolution of pay-related issues as it relates to termination paychecks. As a team leader, this is a hands-on position, coaches and mentors the HR Service Team, developing their professional growth. DUTIES AND RESPONSIBILITIES Lead, coach and mentor the HR Service Team as the team provides service to the organization and VOALA employees. Leads onboarding process of new hires; overseeing new hire paperwork, organizing and conducting orientation and the offboarding of terming employees. Applies metrics for HR Service Team ensuring weekly reports of new hires and terminations Assists in the continuous improvement efforts within the HR department, providing analysis and recommendations. Oversees the resolution of employee inquiries handled by HR Service Team, addressing complex matters and overflow from team, coordinate with appropriate department the resolution of employee inquiries regarding Pay and Benefits, Workers Compensation, Leave of Absence ESSENTIAL ABILITY ACKNOWLEDGEMENT Ability to work and deal with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs, which may include clients with homelessness, mental illness, substance abuse, recently released from incarceration, and other challenges. ESSENTIAL DUTIES: Services for this position must be provided on-site. As a result, the positions supervised by this job description are on-site, and supervisors / managers / leaders must be on site to provide proper direction and oversight Lead, coach and mentor HR Service Team – provide day to day assistance, advice and professional development to HR Associates and Assistants as they address employee matters. Oversees new hire onboarding process, including initial hiring paperwork, orientation and creation of employee files. Responsible for maintainance and audit of personnel files, both hard copy and electronic records (HMIS) Oversees the HR Service team address Employee concerns from incoming calls and e-mails, refers calls as applicabale to Employee Relations team. Analysis of HR processes, makes recommendations for continuous improvement in employment and service functions. Assists in Onboarding/HRIS software implementation projects. Special Projects as assigned Other duties as may be required. MANDATED REPORTER As service providers to the underprivileged and vulnerable in our community, all employees are considered Mandated Reporters, and must report any instance of physical or sexual abuse to proper authorities. Qualifications REQUIREMENTS: Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications Ability to perform under circumstances of possible emotional stress and conflicts dealing with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs which may include clients with homelessness, mental-illness, substance abuse, recently released from incarceration and other challenges. EDUCATION: Bachelor’s degree or related work experience (4 years). EXPERIENCE: Minimum of two years of general experience in Human Resources, including significant project management experience. Minimum one year of leading, coaching and mentoring staff. PREFERRED QUALIFICATIONS: BA/BS degree in Human Resources, Business Administration or equivalent discipline Preferred SHRM – CP. Professional level human resources experience in large complex organizations of larger than 500+ employees Detailed knowledge of federal, state and local statutes relating to equal employment, benefits, family leave, and immigration: (i.e., EEOC, FMLA, FLSA and immigration regulations and guidelines) Expert on ATS and HRIS Volunteers of America is an Equal Opportunity employer.
