Mission Division Programs Coordinator

ESSENTIAL DUTIES AND RESPONSIBILITIES Assist Senior Director, department managers, and other staff within the Mission Division with various tasks and department projects, i.e., badges, parking, scheduling meetings, etc. Serve as Coordinator for the Junior Commercial Steer Committee, Junior Rodeo Committee (junior and adult), and Health Committees. Manages badge allocation for the Mission Division, judges, officials, guests, student interns, etc. during Showtime Serves as Coordinator for the Junior Commercial Steer, Junior Rodeo Committee, and Health Committees. Duties include, but are not limited to, handling committee correspondence and mailings, marketing publications, membership maintenance, accounting requirements, meeting preparation, badge and credential management, printing of rosters and labels and other projects assigned Manages budgets and the budgeting process, bids/proposals overseeing/approving all expenses incurred by committees Coordinates the timeline including set-up and tear-down during Showtime Develops and maintains relationships with committee chairmen, volunteers, officials, and show staff Completes necessary documentation including contracts, deposits, and correspondence, and ensures contractual deadlines are met Assists committees in the planning and implementation of activities and events leading up to and during the Show and ensures that the needs of volunteers and guests are met Work with contest superintendents & committees to develop/maintain layouts for contests, schedule, rules, and judges/officials Attend livestock meetings as directed to stay informed of livestock trends and developments Responsible for general accounting including budgets, deposits, and accounts receivable Serve as staff coordinator for three (3) recognized show committees Responsible for ordering and purchasing relevant signs for show and committee needs Assist with ordering show supplies and awards Other duties and responsibilities as requested, required, or assigned EDUCATION and/or EXPERIENCE Typically requires a Bachelor’s degree from a four-year college or university; or one to two years of related experience and/or training; a minimum of three (3) years of customer relations experience or an equivalent combination of education and experience preferred. Proven skills in working with diverse audiences required. Knowledge of livestock show required. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. LANGUAGE SKILLS Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. OTHER QUALIFICATIONS Extensive work-related experience in a livestock environment and knowledge of livestock terminology. Requires excellent computer skills, customer relations, customer service, organizational skills. Must be project oriented. Computer skills require knowledge of Microsoft Office. Must have database application and worksheet application knowledge. Prefer Oracle experience.
