Account Specialist Leasing Operations

US Citizens only

Must be able to go into Woburn, MA office

Supporting leasing operations and real estate services functions by managing customer applications, lease administration activities, and project lifecycle deliverables. Collaborated with cross-functional teams, customers, and stakeholders to ensure accurate processing of leasing documentation, milestone completion, and revenue-generating project activities while maintaining data integrity and compliance with established processes.

Key Responsibilities:

  • Provided leasing and real estate services support through purchase order processing, installation document review, contract administration, and data entry activities.
  • Managed customer deliverables and project milestones within internal and customer-facing databases, ensuring timely completion of account-specific requirements.
  • Reviewed and validated installation documentation, working directly with internal teams and external customers to resolve discrepancies and maintain project accuracy.
  • Supported project managers by creating, tracking, and managing maintenance and construction-related projects from initiation through closeout.
  • Coordinated project closeout activities, including delivery of installation data and supporting documentation required for revenue-generating inspections and project completion.
  • Prepared, assembled, and distributed project documentation, including lease packages, purchase order requests, customer deliverables, and compliance-related materials.
  • Maintained accurate project records through data uploads and updates within internal project tracking systems and customer platforms.
  • Entered and managed project-specific administrative requirements, including one-time fees, special project coding, and jurisdictional compliance information throughout the project lifecycle.
  • Ensured adherence to established operational procedures, process controls, and quality standards to improve efficiency, consistency, and data accuracy.
  • Partnered with cross-functional teams to provide exceptional customer service and support from application creation through project completion.

Qualifications & Skills:

  • Experience supporting leasing operations, real estate administration, telecommunications projects, or related business operations functions.
  • Knowledge of project coordination, document management, contract administration, and process improvement methodologies.
  • Ability to interpret and review legal documents, contracts, leases, and project-related documentation.
  • Strong organizational and multitasking skills with the ability to prioritize competing deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills with experience collaborating across multiple functional teams.
  • Proficient in data management, database systems, project tracking tools, and Microsoft Office applications.
  • Detail-oriented with a strong focus on data integrity, process compliance, and customer satisfaction.
