Administrative Specialist

Administrative Specialist Location: Tampa, Florida. Play a key role in keeping our Tampa site running smoothly by delivering essential administrative and coordination support. Paid time off (PTO). What you will do: Support the smooth day‑to‑day operations of the Tampa site through effective administrative coordination. Manage calendars, schedule meetings, and coordinate logistics for internal teams and stakeholders. Prepare meeting materials, create agendas, and capture and distribute meeting minutes. Act as a key point of contact by handling incoming calls, visitors, mail, and general site inquiries. Coordinate visitor access and logistics across multiple site locations, ensuring a seamless experience. Organize meeting spaces, book rooms, and coordinate basic catering and site events. Assist with reporting, data entry, and documentation while contributing to continuous improvement and team efficiency. What we are looking for: High school diploma or GED required; additional training or experience in administrative support is an advantage. At least 3 years of experience in an administrative or office support role. Strong organizational and time‑management skills, with the ability to manage multiple priorities. Excellent communication and customer‑service skills, with a proactive and professional approach. Ability to coordinate logistics and support cross‑functional teams in a dynamic environment.
