Physician Support Rep III

Job Location: Remote Work – New York, Albany, New York, United States of America, 12224. Position: Worker, Regular Time, Full time, 40 weekly hours; Department: Neurosurgery Clinical Support; Work Shift: UR – Day. Responsibilities Perform complex secretarial and administrative duties in a fast‑paced environment supporting clinical, educational, and academic programs. Serve as primary contact for provider(s) and manage provider(s) calendar, prioritizing appointments and meetings based on preferences. Continuously examine the clinical schedule(s) to identify opportunities for optimizing provider time and effort. Find missing orders and send them for review and approval. Anticipate insurance company needs by gathering all necessary information for referrals and prior authorizations. Apply provider preferences and protocols in selecting multiple possibilities to execute or delegate follow‑up actions based on patient notes. Compose, edit, and obtain signatures for non‑routine letters of correspondence related to appeals on denied claims. Manage provider(s) documentation and information. Compose and type non‑routine correspondence providing factual information. Arrange travel, conference registration, and hotel accommodations. Interface with organizations, hospitals, and others to facilitate invited lectures and speaking engagements for the provider. Research hospital medical records for information requested by physicians, insurance companies, and attorneys. Determine the order of daily surgeries and ambulatory procedures based on patient medical conditions and severity. Negotiate surgical/procedure schedule with the Operating Room scheduling office and Ambulatory Surgical Center staff. Authorize overbooking and rearrangement of surgeon's Operating Room schedules based on case complexity and medical urgency. Authorize rescheduling when cancellations occur, applying protocols for surgical scheduling. Order all necessary surgical/procedure equipment, devices, and medication according to protocols. Follow up to confirm orders are fulfilled and ready for surgery/procedure. Employ contingency strategies to ensure all details, materials, and locations are ready as scheduled. Ensure patient education and follow‑up details align with pre‑operative readiness and post‑operative rehabilitation expectations. Accountable for completeness of all relevant information from pre‑op testing and evaluations for review by the anesthesiologist and Operating Room. Assemble necessary details from multiple tabs within the electronic medical record for disability paperwork. Assess calls to understand patient needs, prioritize medical concerns, and obtain responses from providers and follow up with patients. Serve as main point of contact for patients pre and post‑operative. Perform other duties as assigned. Minimum Education & Experience High School diploma and 2 years of relevant experience, or equivalent combination of education and experience. Knowledge of medical terminology, experience with surgical/appointment scheduling software (such as Flowcast), and electronic medical records preferred. Knowledge, Skills and Abilities Demonstrated customer relations skills required. Strong organizational and time‑management skills. Ability to handle multiple tasks simultaneously and prioritize effectively. Proficiency with scheduling software and electronic medical record systems.
