People Operations Specialist

TL;DR : We're looking for a People Operations Specialist to run the systems and daily operations behind Hallow's People function for a fast-growing global team. You care about people just as much as you enjoy working with processes, software, and data, and you'd rather automate repetitive work than keep doing it by hand.

What You'll Do

• People Systems Administration: You'll own day-to-day administration of our people processes and systems (Rippling, Lattice, and Tilt). You’ll manage and improve how we handle team member records and changes, offer letters and contracts, I-9s, employment verifications, background checks, leave administration, and performance management.
• Data Integrity and Reporting: You’ll make sure our People data is accurate and consistent across our systems. You’ll implement new integrations, find and fix discrepancies, and build and maintain reporting that managers, the People team, and leadership rely on to make decisions.
• Access and Devices: You'll manage access across our company-wide tools, including Google Workspace, Slack, and Zoom, from provisioning on someone's first day through removal on their last. You'll own device procurement, storage, and collection with our third-party logistics vendor and will run our periodic access reviews. 
• Automation and Integrations: You'll find repetitive work buried in our People and Ops processes and build it away, using Rippling's integrations along with tools like Claude Code and Windmill. 
• Team Support: You'll take the first pass on our internal People and Ops request queue, which is one of the most personally impactful ways our team experiences our People function. You’ll field questions from across the team about benefits, systems, devices, and policies, answering what you can and escalating what you can't.
• Compliance Cycles: You'll keep recurring compliance work on schedule, including annual compliance training, benefits reporting and census audits, access reviews, and support for our SOC 2 information security program.
• Possible Flex into Admin Support: This role has the potential to flex into offering direct administrative support to Hallow’s CEO and executive leadership team.

You’ve built things with AI that get used regularly, and you keep up with what’s new. You collaborate well with others, but you also don't wait for a playbook to get started.
• Curiosity and follow-through: You notice the integration that stopped working or the question that keeps coming back, and your next step is to investigate the cause and then drive a resolution. You're comfortable reading contracts and policies, and you want to know why things work the way they do.
• People-first: The People and Ops functions are service-focused, and you take that seriously. When someone reaches out with a question about their benefits, a problem with their device, or a request they don't know how to route, you're the person who makes them feel heard and taken care of. You're warm, responsive, and people enjoy interacting with you. You'll treat all of the team’s sensitive information the way you'd want yours treated.
• Tech-savvy: You're comfortable navigating a broad tech stack, and ideally you've worked with tools like Google Workspace, Slack, or Zoom at an admin level. You learn new tools quickly, and you can hold your own in a conversation about systems, integrations, and infrastructure without being an engineer.
• Experience: You've spent 1-3 years in a People/HR or executive support role. You've worked at a startup or small company where you wore a lot of hats and naturally gravitated toward the process, systems, and tooling side of the work. Pluses: prior HRIS administration, exposure to a SOC 2 or GRC platform like Vanta, and comfort building with tools like Claude Code, Codex, Windmill, or Google Apps Script.

Compensation Range

$70,000 to $90,000 USD per year
The above range only includes cash compensation. Each full-time employee in the US also receives equity compensation, alongside a top-tier benefits package (e.g., unlimited PTO, insurance, remote-flexible work, fully paid parental leave, 401(k) match, and stipends for spiritual development, health & wellness, home-office, and learning).
The above range for cash compensation refers to base salary. All full-time employees are also eligible to be considered for a discretionary bonus at the end of each fiscal year. These ranges are just initial estimates. They may vary depending on market or location and may be adjusted depending on the person we end up hiring for this role, their experience, and market dynamics.
