Part Time HUD Assistant Community Manager - Rumrill Gardens

Job Summary Assists the Community Manager with financial and operational duties, including accounting, bookkeeping, financial reporting, invoice processing, rent collection, bank deposits, account reconciliations, and maintenance of the property management system. Responsibilities Complete daily financial tasks such as collecting rent and fees, posting deposits, reconciling bank accounts, preparing financial reports, and processing invoices and payables. Operate property‑management software (Yardi/OneSite), entering transactions accurately and performing system backups. Review resident files and accounting records to determine unpaid or late fees, communicate with residents, enforce leases, and maximize revenue. Process vendor invoices, reconcile work performed, code charges to appropriate accounts, and liaise with vendors, accounting, and client/owner as needed. Enforce eviction procedures, follow notice requirements, represent the community in court hearings, and handle eviction proceedings. Process resident move‑outs, apply lease cancellation fees, and ensure disposition follows established procedures and legal requirements. Promote resident satisfaction by responding to complaints, questions, and requests promptly, and taking action to resolve service issues. Act as on‑site supervisor when the Community Manager is absent, organize daily work, coordinate maintenance and make‑ready tasks, and oversee community operations in compliance with company policies. Assist owner relationships by meeting with owners, conducting community tours, providing performance updates, and responding to owner requests. Support leasing and marketing efforts by greeting prospective residents, gathering prospect information, showing ready apartments, handling lease deposits, and assisting with rental applications and credit verification. For California: Review completed move‑in files before submission to the Community Manager. Requirements 1–3 years of relevant experience in residence life and/or property management, demonstrating community management, sales, marketing, and customer service skills. Understanding of lease terms and enforcement, including collections. Excellent written and verbal communication skills. Detail‑oriented, self‑motivated, able to work independently and collaboratively. Specialized Skills All required certifications and licenses per state and local jurisdiction. Valid driver’s license for driving golf cart on property. Proficiency with Internet, word processing, spreadsheets, and database management programs. Strong proficiency in property‑management software (Yardi, OneSite, Entrata, etc.). Travel and Physical Demands Perform office work and frequent outreach outside of the office; access to all exterior and interior property areas required. Lift, push, pull, or carry up to twenty pounds independently and up to fifty pounds with assistance. Local travel for bank deposits, training, or related duties; occasional travel for business meetings or training may be required.
