Administrative Clerk-HSE (Phoenix, AZ) - Austin Industrial

Job Summary Austin Industrial, an employee‑owned company, is seeking an Industrial Administrative Clerk – HSE to provide clerical and administrative support in an industrial or manufacturing environment. This full‑time position requires 40 hours per week, is located on‑site, and offers a rate of $30 USD per hour. Applicants must be legally authorized to work in the United States; sponsorship of employment visas is not available. Key Responsibilities Administrative Support Perform general clerical duties including data entry, filing, document control, and correspondence. Prepare reports, spreadsheets, and presentations for operations and management. Maintain organized physical and electronic filing systems. Document & Records Management Track and manage work orders, purchase orders, invoices, and delivery receipts. Ensure compliance with company policies and industry regulations for document retention. Update databases and systems with accurate, timely information. Operations Coordination Assist in scheduling maintenance activities, workforce assignments, and project timelines. Coordinate with supervisors, vendors, and contractors to facilitate workflow. Monitor inventory levels and assist with ordering office or operational supplies. Communication Serve as a point of contact for internal departments and external partners. Answer phones, respond to emails, and route inquiries appropriately. Support meetings by preparing agendas, taking minutes, and tracking action items. Compliance & Safety Support Maintain safety records, training logs, and compliance documentation. Assist in preparing reports related to audits or inspections. Qualifications 1–3 years of administrative or clerical experience, preferably in an industrial, manufacturing, or construction environment. Strong proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP systems is a plus. Excellent organizational and time‑management skills. Strong attention to detail and accuracy. Effective written and verbal communication skills. Valid driver’s license. Working Conditions Work performed in an office setting within or adjacent to an industrial or plant environment. May require occasional exposure to noise, PPE, or site safety protocols. Standard working hours with potential for overtime depending on operational needs. Organization and multitasking, problem‑solving, team collaboration, adaptability in a fast‑paced environment. Physical Requirements Ability to sit for extended periods while working on a computer. Occasional walking in plant or warehouse environments. Ability to lift up to 20 pounds (files, office supplies).
