The Role The Repair Service Administrator role is a mix of project management, customer service and planning. This on‑site position is based at our Pewaukee, WI facility. The administrator will process orders for pump repairs and testing services offered by FPO, manage customer warranties, coordinate costs with engineering, and process purchase orders to ensure repair work meets specifications and schedules. Core Responsibilities Receive and review customers’ orders for accuracy and completeness; maintain records of customer codes, tax codes, sales force codes, invoices and shipping data. Obtain current cost data from vendors for parts and repair services to assist engineers in preparing repair proposals; record costs in the business system. Coordinate trucking and logistics information with the shop team. Participate in and present at production meetings and conduct repair meetings. Process orders for parts and repair services required for pump repair or test; load information and codes for repair and parts drawings into the business system. Handle correspondence from customers regarding repair orders, complaints and service inquiries. Prepare shipping documents and invoices for pump repair jobs. Maintain files for customer warranties (TRA’s) and process orders for replacement parts and services, including shipping papers for the TRA’s. Review pump repair proposals, inspection reports and engineering drawings for accuracy and completeness. Process orders for Material Variance Reports (MVR’s) for repair or replacement of defective or missing material. Handle daily invoicing for all FPO parts, repairs and shipment reports for management. Qualifications Education: High School Diploma or equivalent. Experience: 5+ years in contract management, project management or order management. High level of attention to detail. Strong written and oral communication skills; high level of engagement with internal and external stakeholders including vendors, procurement, third‑party shops, and sales.
