Administrative Assistant

Paladin Consulting is currently hiring an Administrative Assistant to join our team working onsite at our client's office located in Houston, TX. We work with companies that offer environments for our employees to contribute, learn, and advance their career. We treat you like you are part of the family.

Job Title: Administrative Assistant

Work Location: Houston, TX

Duration: 6 month contract with option to extend or hire

Education/Experience Required: High school diploma required; Bachelor degree preferred

Job Description & Responsibilities:
  • Extensive calendar management for bankers
  • Coordinating and scheduling of meetings and conference calls across multiple time zones
  • Managing high volume of phone calls and emails, relaying information in a timely manner
  • Coordinating room bookings for internal/external meetings and VCs/Zooms across multiple locations
  • Coordinating travel arrangements for the team, including:
  • Visa applications
  • International flight & accommodation bookings
  • Car bookings
  • Expense management and preparation
  • Taking on ad hoc tasks while maintaining workflow
  • Supporting teams in day to day issues, needs and queries
  • Providing phone / vacation coverage for colleagues
Skills & Qualifications:
  • A strong candidate should be able to demonstrate the following skills:
    • Strong Microsoft Word, Excel and Outlook skills
    • Able to prioritize a variety of time-sensitive tasks
  • Demonstrates dependability and high attention to detail along with the ability to multi-task
  • Displays a consistent, professional degree of communication skills in person, on phone and by e-mail to various levels
  • Comfortable working with people at all organizational levels, internally and externally
  • Must be a team player that works well under pressure within a changing environment
  • Flexible and adaptable to work and support across multiple teams
  • Be resourceful and able to use own initiative in solving issues
  • Proactive attitude when managing diaries
  • Discretion to deal with confidential business matters
  • Friendly and approachable with a "can do" attitude
