Job Description

The Order Processor is responsible for managing the full customer order lifecycle, ensuring accurate order entry, timely fulfillment, and clear communication with customers. This role plays a critical part in customer satisfaction by coordinating logistics, maintaining records, and supporting account needs.

 

Essential functions:

Order Management & Fulfillment

• Process customer orders received via phone, voicemail, email, and fax
• Accurately document order details in CRM systems
• Generate invoices and enter orders into systems (e.g., NAV)
• Create shipping labels (e.g., FedEx) and coordinate shipments
• Send order confirmations and updates to customers

Specialized Order Handling

• Validate Certificates of Analysis (CoA), lot numbers, and expiration dates
• Ensure compliance with labeling requirements (including international/French labeling)
• Prepare customs and shipping documentation for international orders

Customer Account Support

• Create and maintain customer records in systems
• Assist customers with account access and password resets
• Process new formulary registrations
• Handle returns and equipment-related items (e.g., SD cards, parts orders)

Backorder & Inventory Coordination

• Manage backorders, including adjusting ship dates and quantities
• Communicate proactively with customers regarding delays and updates
• Reprocess and fulfill outstanding orders

Billing & Coordination

• Support billing processes including equipment scheduling and invoicing
• Handle parts orders and coordinate with internal teams
• Respond to customer inquiries related to orders and billing

Customer Communication

• Serve as a primary point of contact for order-related questions
• Communicate via phone and email with customers and internal teams
• Collaborate across departments (CX, Accounting, Operations) to resolve issues

 

 

Job Requirements:

• Strong attention to detail and organizational skills
• Experience with CRM/ERP systems (e.g., NAV preferred)
• Strong communication and customer service skills
• Ability to manage multiple priorities in a fast-paced environment

The new FLAVORx Auto even dispenses the customers preferred flavor, completely eliminating the time it takes to flavor medications.

To ensure our pharmacy customers can fill prescriptions with safe, high-quality purified water, we pair our dispensers with a proprietary water purification system designed to meet pharmaceutical specifications. FillPure, our water quality division, includes a growing team of field technicians who are responsible for servicing and maintaining the water purification systems and Fillmaster dispensers. Demand for our equipment is growing rapidly, so we’re expanding our team across many departments to better serve our pharmacy customers.
