Position Summary The Accounts Payable Specialist performs a variety of accounting clerical tasks related to the maintenance and processing of Freight Carrier and Agent records and invoices for the Company’s various clients and vendors. Essential Duties and Responsibilities Enter invoices for payment. Ensure all vendor insurance is up to date. Work with Ops to resolve discrepancies on invoices. Process backup reports after data entry. Manage weekly checks and record all checks into computerized software. Prepare vendor checks for mailing and list all vendor checks in a log tracking book. Maintain inventory files and financial documents using an organized filing system either electronically or non-electronically. Enter carrier and agent profiles as well as update agent tariffs. Update weekly fuel surcharge for the vendors. Request bi‑monthly statements from vendors to compare with aging – able to do standard operating procedure reconciliation. Provide courteous customer service to visitors, clients, and vendors. Perform other duties as assigned. Minimum Qualifications High school diploma or G.E.D. equivalent required. Two or more years of accounts payable and/or payroll experience required. Combination of education and experience will be considered. General understanding of accounting practices and principles. Experience with automated accounting programs and systems. Working knowledge of Microsoft Office (Word, Excel, Outlook); able to do vlookups and pivot tables. Excellent computer skills using 10‑key by touch and typing 40 WPM. Proficient English communication skills in oral and written format. Ability to apply discretion and trust with confidential material. Maintain a high level of accuracy in preparing and entering financial data. Apply analytical and problem‑solving skills. Excellent time management skills with the ability to multi‑task, prioritize, and meet deadlines.
