Project Manager Assistant – Logistics & Job Site Coordinator

Max Craft Renovations is seeking a hands-on, organized Project Manager Assistant to coordinate job site logistics, warehouse staging, tools, materials, and field documentation for residential construction projects. This role works across the warehouse and active job sites, coordinating with Project Managers, subcontractors, and field crews to keep work areas prepared and projects moving. Daily field activity and documentation are managed in Buildertrend.

What you’ll do

Tools and inventory

• Maintain an up-to-date inventory of company tools, power equipment, ladders, scaffolding, and specialized machinery.
• Track tool checkouts and returns by field crews and subcontractors; identify and report missing or damaged items.
• Conduct routine tool inspections and coordinate repairs, sharpening, and replacements.
• Track inventory discrepancies and update records.

Warehouse and material staging

• Organize designated staging areas for project materials, fixtures, tile, vanity units, and client selections.
• Receive shipments, verify quantities against purchase orders, inspect for transit damage, and record items in Buildertrend before dispatch to a job site.
• Keep the warehouse, shop floor, staging areas, and company vehicles clean, safe, and organized.

Job site and trade coordination

• Coordinate daily start times, site access, and work execution with subcontractors and trades, including framing, plumbing, electrical, HVAC, drywall, and tile.
• Deliver approved plan sets to trade partners and review relevant layouts and dimensions before work begins.
• Stage and deliver client-selected fixtures, valves, rough-in trim, hardware, and other materials to the appropriate job site and trade.
• Perform internal quality checks after trade phases such as demolition, framing, plumbing, electrical, and drywall preparation. Verify completed work against the plans and scope before the subcontractor leaves and before municipal inspection.
• Prepare job sites by setting up dust barriers and surface protection, clearing debris, coordinating dumpster drops and pickups, and completing weatherproofing or winterization as needed.

Deliveries, vehicles, and records

• Pick up and deliver materials, specialty hardware, and missing parts from suppliers or home improvement stores; coordinate returns and inventory credits.
• Help maintain and service company vehicles and trailers, including basic checks and coordinating needed repairs.
• Upload and maintain daily field logs, progress photos, delivery receipts, tool inventory updates, permit records, and completed internal inspection checklists in Buildertrend.

Qualifications

• Experience in residential construction, job site coordination, warehouse operations, or a similar hands-on role.
• Strong organization, reliability, and follow-through.
• Clear communication skills when coordinating with trades, subcontractors, Project Managers, and suppliers.
• Comfortable using a smartphone or computer to update records and documentation; Buildertrend experience is preferred.
• Comfortable working in a warehouse and on active residential job sites.
• Valid driver’s license and ability to travel between the warehouse, suppliers, and job sites in the Atlanta metro area.

Tools and materials are accounted for, deliveries reach the right site at the right time, trade partners have the information and materials they need, job sites are prepared and organized, and field records are kept current in Buildertrend.
