Executive Assistant

Fill My Role

Looking for a highly organized, proactive, and detail-oriented Executive Assistant to support Head of Operations for Confidential client in beauty and lifestyle space. This role is ideal for someone who thrives in a dynamic entrepreneurial environment, enjoys wearing multiple hats, and can seamlessly balance executive support, operational coordination, and event logistics.

Responsibilities

Executive & Administrative Support

  • Manage complex calendars, scheduling, and meeting coordination for the Head of Operations
  • Coordinate travel arrangements, itineraries, and expense reporting
  • Prepare presentations, reports, documents, and internal communications
  • Track action items and help manage priorities across departments
  • Serve as a point of contact between leadership, vendors, and internal teams
  • Assist with general office management and operational support as needed

Shopify & E-Commerce Support

  • Assist with administrative tasks related to Shopify operations
  • Support product launches, inventory updates, and website maintenance coordination
  • Help organize product data, promotions, and reporting
  • Coordinate with marketing, fulfillment, and customer service teams to ensure smooth execution
  • Monitor order issues and assist with operational follow-up when needed

Event Coordination

  • Support planning and execution of company events, pop-ups, trade shows, photoshoots, and brand activations
  • Coordinate vendor communications, timelines, logistics, and materials
  • Assist with travel and accommodations for events
  • Help manage event budgets, invoices, and schedules
  • Provide on-site support during events when necessary

Qualifications

  • 1+ years of experience in an Executive Assistant, Operations Coordinator, or Administrative role
  • Experience supporting senior leadership preferred
  • Familiarity with Shopify or e-commerce platforms strongly preferred
  • Exceptional organizational and multitasking skills
  • Strong written and verbal communication skills
  • Proficiency in Google Workspace, Microsoft Office, and project management tools
  • Ability to work independently, anticipate needs, and problem-solve proactively
  • Comfortable in a fast-moving startup or growing brand environment
  • Interest in beauty, wellness, or consumer products is a plus
