Job Title: Administrative Secretary / Data & Admissions Coordinator
Position Summary
South Florida Jewish Academy is seeking a highly organized, self-motivated, and detail-oriented Administrative Secretary / Data & Admissions Coordinator to join our administrative team. Working in partnership with the school's current secretary, this individual will help manage the day-to-day operations of the front office while taking primary responsibility for maintaining data systems, tracking prospective students, and supporting the admissions process.
This is an evolving position with the opportunity to develop new systems, improve workflows, and become an integral part of the school's administrative team. The ideal candidate is proactive, collaborative, and enjoys creating organized, efficient processes.
Key ResponsibilitiesWork collaboratively with the school's administrative secretary to ensure the smooth operation of the front office.
Maintain accurate student records and school databases.
Manage the admissions pipeline by tracking prospective families from initial inquiry through enrollment.
Schedule school tours, admissions meetings, interviews, and follow-up communications.
Generate reports and maintain spreadsheets related to admissions, enrollment, and school data.
Assist with registration, enrollment, and student records.
Answer phones, respond to emails, greet visitors, and provide exceptional customer service to families and guests.
Coordinate calendars, appointments, and meetings for school administrators as needed.
Organize and maintain confidential digital and paper files.
Support school events and administrative projects.
Identify opportunities to improve office procedures and help develop efficient administrative systems.
Provide cross-coverage for the other secretary as needed and work together to ensure all office responsibilities are completed efficiently.
