Job Overview

Nexiya is seeking an experienced Program Assistant III to support our utility client at their Kearny Mesa office location. The Program Assistant III will work closely with internal teams, program partners, vendors, contractors, and other stakeholders to effectively operate, improve, track, and report on program activities. This role requires strong project management skills, attention to detail, and the ability to work collaboratively and flexibly across teams.

Responsibilities

• Manage small to medium-sized projects within the department, coordinating activities from project initiation through successful completion.
• Manage project scope, timelines, cost estimates, design activities, deliverables, and vendor coordination.
• Develop and maintain project and program requirements, including implementation plans, procedures, handbooks, and product market analyses.
• Develop, maintain, and enhance program data, tracking, and reporting using multiple internal data sources and modern data technology tools and practices.
• Monitor project and program performance metrics and prepare status reports to ensure progress aligns with established timelines, budgets, deliverables, and quality standards.
• Support customer engagement activities by responding to inquiries, providing program information, and verifying customer eligibility.
• Provide direction and coordination to contractors, consultants, vendors, and project teams.
• Coordinate procurement activities for project-related materials and services in accordance with established policies and guidelines.
• Identify and escalate potential risks, issues, or delays that may impact project timelines or deliverables.
• Support vendor management, database management, and compliance and regulatory reporting associated with Wildfire Mitigation Program initiatives.
• Collaborate with internal teams, program partners, peers, and leadership to support program operations and identify opportunities for continuous improvement.
• Maintain accurate program documentation, data, reports, and supporting materials.
• Perform other duties as assigned.

Qualifications

• Bachelor’s degree required.
• Minimum 5 years of project support or project coordination skills, including the ability to organize, plan, prioritize, and drive activities to completion.
• Strong attention to detail, particularly when working with program data, tracking, reporting, and program materials.
• Experience managing or supporting multiple projects, priorities, deadlines, and stakeholders.
• Strong analytical and organizational skills with the ability to maintain accurate program and project information.
• Strong written and verbal communication skills, including the ability to communicate effectively with customers, vendors, contractors, internal stakeholders, and leadership.
• Collaborative and flexible approach with the ability to work effectively across teams and organizational levels.
• Ability to identify project risks and issues and escalate them appropriately.
• Experience supporting vendor management, procurement, customer programs, regulatory programs, or utility programs is preferred.
• Ability to work independently while contributing effectively within a collaborative team environment.
• Strong customer service skills and proactive follow-up.
• Must be able to successfully pass the background screening process.
• The candidate must be eligible to work in the U.S.
• The candidate must be able to commute to the office location.

Pay Range: 

Min: $ 38 / hour
Max: $ 45 / hour
