Administrative Support Specialist (5705)

Administrative Support Specialist

Old Harbor Solutions is looking for an Administrative Support Specialist to join our team to support our customer in Grand Junction, CO, Westminster, CO, or Morgantown, WV.

Responsibilities:

Primary Travel Management

  • Provide support for CONCUR system and adherence to Federal Travel Regulations
  • Arrange travel plans, itineraries, and authorizations for personnel
  • Process vouchers and coordinate travel changes
  • Handle foreign travel documentation
  • Prepare travel-related reports

Secondary Administrative Support

  • Process requests, reimbursements, and supply management
  • Coordinate meetings, events, and logistics
  • Maintain filing systems (physical and digital)
  • Manage office supplies and inventory
  • Maintain executive calendars and schedules
  • Coordinate meetings between directors and senior executives
  • Schedule resources and conference rooms
  • Organize logistics for events and workshops
  • Manage SharePoint sites and shared drives
  • Maintain various databases and tracking systems
  • Support records management procedures
  • Create and update procedural documentation
  • Develop reports from spreadsheets and databases
  • Serve as liaison between field offices and senior executives
  • Support directors, managers, and field staff
  • Review and vet communications for executives
  • Maintain confidentiality of sensitive information
  • Coordinate with government agencies and external partners
  • Prepare confidential correspondence, reports, and documents
  • Maintain document tracking systems
  • Ensure proper formatting and quality of official communications
  • Serve as Point of Contact for various communication systems
  • Support controlled document processing and maintenance
  • Process time and attendance records in Automated Time Attendance and Production System (ATAAPS)

Requirements:

  • US Citizen
  • Ability to pass a pre-employment background check
  • Proficiency in Concur or similar travel system
  • Understanding of Federal Travel Regulations
  • Strong analytical and communication skills
  • Detail and customer service-oriented with ability to meet deadlines
  • Experience working with diverse stakeholders

Position can be on-site in Grand Junction, CO, Westminster, CO, or Morgantown, WV
