Position Overview Full time. Schedule: Monday - Friday, 7 a.m. – 4:00 p.m. Title: Administrative Assistant. Seeking an Administrative Assistant to provide high level support to the organization by executing administrative tasks, procedures, and policies. Provides and promotes a high level of customer service to internal as well as external clientele. Essential Duties and Responsibilities Comply with Health Insurance Portability and Accountability Act (HIPAA) while performing all duties. Communicate with and answer all patient phone calls in a prompt, pleasant, and helpful manner while ensuring they receive the highest levels of customer service. This will include communicating medical questions or information to and from the physicians and any other patient care requests. Schedule appointments for return patients. Organize and maintain patient communication and preparation for patient exam days via 15‑Day and 3‑Day confirmation calls. Ensure patient has completed all paperwork via the eMHQ system. Assist in transmitting referrals to physician offices or patients. Maintain a working knowledge of all services that are offered within the clinic as well as other services around campus. Process refill medications for patients and send to physician for approval. Maintain confidentiality of all clientele. Provide and promote a high level of customer service to internal as well as external clientele. Continuously monitor cancellations, filling open appointment slots. Order office supplies and coordinate maintenance of equipment for the department. Ensure the schedule is correct and properly utilized for patient care. Print or retrieve information as requested from medical record requests and file into patient’s chart. Coordinate services within and between departments for efficiency in daily flow. Maintain a positive attitude and adhere to Cooper purpose and core values. Follow all Clinic policies and standard operating procedures. Complete duties on site with consistent, regular, and reliable attendance. Accomplish other duties as assigned. Qualifications Excellent verbal and written communication skills. One to four years of relevant experience in a medical office, physician practice, hospital and/or acute care setting is preferred. Strong organizational, time management, and attention to detail skills. Possess problem‑solving skills, be self‑motivated, and strive for professionalism. Ability to work in a group setting as well as work independently. Good computer skills and proficiency with Microsoft Office Suite; type a minimum of 50 wpm. High school diploma or general education degree (GED); Bachelor’s or Associate’s Degree or certificate from a university or technical school preferred.
